The Role

We're looking for a highly organised and personable People & Administration Coordinator to support our day-to-day operations. Reporting to the General Manager, you'll play a pivotal role across two key areas: coordinating HR operations including contracts, onboarding, offboarding and payroll coordination; and keeping our office running smoothly through front-of-house duties, inventory management, facilities coordination and providing support to the Managing Director with calendar management and administrative arrangements.

Key Responsibilities

HR generalist duties including:

  • Drafting contracts and letters of offer
  • Coordinating the induction and employee onboarding process
  • Coordinating the payroll workflow process and work in collaboration with Finance to ensure renumeration details, leave applications and employee changes are processed correctly and on time.
  • Coordinate with managers and employees the review and probation processes
  • Ensuring confidentiality and accurate record keeping of personnel files, HR documentation, relevant HR systems and policies and procedures.

Office Administrator duties including:

  • Welcome guests visiting the office
  • Monitor and organise stationary, kitchen and general office supply replenishment
  • Assist with coffee and catering requirements for meetings and boardroom lunches
  • Process incoming and outgoing mail
  • Manage the Managing Director's calendar and coordinate their daily schedule
  • Assist in the organisation of executive offsites, staff events and social events
  • Assist with executive travel arrangements

Skills & Experience

Skills:

  • Strong proficiency in the Microsoft Office suite (Word, Excel, PowerPoint)
  • Intermediate level proficiency in Microsoft Excel is required
  • Excellent written and verbal communication skills
  • Excellent attention to detail and accurate record-keeping
  • Strong organisational and time management skills
  • Capable of working effectively in a face-paced environment
  • Confident, collaborative and supportive approach

Experience

  • Previous experience in a HR generalist / administration, general administration, office administration or executive assistant role
  • A minimum of 1-2 years of experience in administration and exposure to HR generalist responsibilities is required
  • Functional knowledge of HR best practices, regulations and legislation (desirable but not essential)
