Randstad is currently assisting a QLD Government Department who are seeking an experienced Executive Assistant to join their team for a period of 6 months initially.

Position Purpose

The Executive Assistant provides high-level, confidential administrative and executive support to a senior leader or team. This role is responsible for managing a demanding and complex workload in a fast-paced environment, ensuring the efficient and effective operation of the executive office.

Key Responsibilities
  • Complex Diary and Correspondence Management: Proactively manage the executive's diary, including scheduling meetings, organizing travel, and screening all incoming calls and correspondence.
  • Administrative Support: Prepare high-quality documentation, including reports, briefings, presentations, and minutes for meetings.
  • Stakeholder Engagement: Act as the primary point of contact and build strong, professional relationships with a wide range of internal and external stakeholders.
  • Project and Task Coordination: Coordinate and track projects, manage competing priorities, and ensure that all deadlines are met.
  • Information and Records Management: Maintain confidential records and information in compliance with government policies and procedures.
Essential Selection Criteria
  • Proven Executive Support Experience: Demonstrated experience in providing confidential and high-level administrative support to a senior executive within a large, complex organization, preferably in the public sector.
  • Exceptional Organizational Skills: Proven ability to multitask, prioritize, and manage a heavy workload with a high degree of autonomy and attention to detail.
  • Advanced Communication and Interpersonal Skills: Excellent written and verbal communication skills, with the ability to build rapport and influence outcomes with diverse stakeholders.
  • Problem-Solving and Initiative: A proactive and solutions-focused mindset with the ability to anticipate needs and resolve issues effectively under pressure.
  • Technical Proficiency: Advanced proficiency with the Microsoft Office Suite and experience with relevant government systems and databases.
