We're a busy construction business looking for a Bookkeeper / Admin Assistant to take ownership of our finance admin and support functions. If you've got strong Xero experience, a solid understanding of double-entry accounting, and enjoy being part of a collaborative team — we'd love to hear from you.

About the Role

This is a hands-on, varied role supporting the finance and operations team. You'll be responsible for end-to-end bookkeeping, payroll, customer and supplier accounts, and general office administration across multiple entities. The role would suit someone with a background in construction, trades or equipment hire who is confident with systems, proactive with communication, and can meet deadlines under pressure.

We're looking for someone with great attention to detail, initiative, and the confidence to communicate with both clients and colleagues. This is an on-site role (not remote), based in our head office, with on-site parking provided.

Key Responsibilities

Accounts Payable

  • Prepare purchase orders (POs) for supplier goods and services.

  • Receive and code supplier invoices accurately in Xero.

  • Process accounts payable transactions into Xero for payment.

  • Reconcile supplier statements regularly to ensure accuracy.

  • Prepare and schedule supplier payments on time.

  • Follow up on any payment discrepancies or invoice issues with suppliers.

  • Complete credit applications for new suppliers as needed.

Accounts Receivable

  • Create and issue invoices across multiple projects and entities.

  • Manage 15-day and 30-day claims and submit PAYAPP claims with supporting documentation.

  • Monitor payment schedules in line with contract terms.

  • Build and manage strong relationships with customers to follow up on overdue invoices.

  • Resolve discrepancies in collaboration with internal teams.

  • Provide aged debtor reports and flag risk areas to the Finance Manager.

Payroll

  • Process weekly payroll across multiple entities.

  • Ensure correct calculation of super, leave accruals, and payroll tax.

  • Answer staff payroll queries promptly.

Banking, Compliance & Reporting

  • Assist with daily bank reconciliations.

  • Assist with BAS and Payroll Tax returns.

  • Support the Finance Manager with month-end and year-end tasks including working papers and reconciliations.

  • Assist with budgeting, forecasting, and management reporting.

  • Maintain up-to-date and accurate data in Xero.

Admin & Project Support

  • Assist with project setup including budget entry and compliance records, working closely with operations teams to support project management and processes.

  • General admin support: phones, document control, filing, and systems maintenance.

  • Contribute to business improvement initiatives and process documentation.

What We're Looking For
  • 5 years bookkeeping experience (construction or trades industry preferred).

  • Advanced Xero skills: invoicing, payroll, bank reconciliations, reporting.

  • Solid grasp of double-entry accounting and financial principles.

  • Confident communicator — especially when chasing payments

  • Experience with PAYAPP claims, job costing and multi-entity accounting.

  • Strong attention to detail and ability to meet deadlines.

  • Team player who is flexible, reliable, and highly organised.

  • Minimum Certificate IV in Accounting or Bookkeeping required; accounting qualifications preferred.

  • Must be eligible to work in Australia and available to work on-site.

  • Candidates will be tested on double-entry bookkeeping principles and Xero skills during the interview process.
