IT Project Coordinator

Our client, a leading Managed IT provider supporting over 12,000 users globally, is on the lookout for an IT Project Coordinator & Team Lead to join their Brisbane-based team. This is an exciting opportunity to be part of a dynamic project department that drives innovation, efficiency, and seamless project delivery across the business.
In this role, you'll play a key role in ensuring all projects are delivered on time, with minimal downtime and maximum impact. You'll work closely with the General Manager in leading a passionate team toward successful outcomes with a strong focus on customer satisfaction, administration, and business support.

Responsibilities
- Driving success within the projects team by means of consistent leadership, team clarity and performance accountability
- Work with the lead project engineer to develop team members, set and track training goals, and establish staff development pathways
- Train and onboard new staff, ensuring smooth integration into the team whilst maintaining culture and productivity, and support their ongoing development
- Dispatch and organise project resources
- Handle leave requests and maintain staff coverage
- Calling clients for scheduling/changes, handling priority events and keeping open communication via phone calls and emails
- Schedule and facilitate meetings with customers, third-party contractors, and internal teams
- Receiving orders and completing weekly stock take
- Maintaining vehicle stock, assigning stock to projects, and sending freight
- Time entry and timesheet quality assurance
- Expense entry quality assurance and approval
- Maintain staff amenities, organise company events with management, manage company vehicles in Fleetio, and oversee e-waste disposal
The successful candidate
- Strong leadership experience managing direct reports and conducting regular 1:1 meetings
- Extensive background in a scheduling role, projects admin, or customer service with scheduling or project coordination activities
- Excellent communication and stakeholder engagement skills, with the ability to effectively engage and coordinate across multiple levels of the organisation
- Strong attention to detail and highly organised
- Happy and can work in a very fast-paced environment
- Flexible and amenable in working to strict deadlines, and even multiple deadlines
- Technical knowledge or MSP experience is an advantage
- Can work under minimal supervision and can handle constructive feedback professionally
