Position Summary:

To coordinate, lead and mentor the Mobilisation & Planning divisions in meeting all pre-mobilisation and other related site requirement compliance.

To ensure all activities are coordinated in an organised and timely fashion and are met by the resources division and that all personnel are mobilised in accordance with site and client requirements.

  1. Duties and Responsibilities include however are not limited to:
  2. 1. Daily supervision and coordination of the Mobilisation & Compliance team to ensure deadlines are met and completed accurately.
  3. 2. Coordinate Mobilisation & Compliance team rosters to ensure that adequate coverage is being met to achieve operational and site objectives.
  4. 3. Continual development and implementation of improvement processes to improve workflow and efficiency of the team.
  5. 4. Provide leadership, mentoring and daily support to the Mobilisation & Compliance team, escalating performance issues to the Resourcing Superintendent.
  6. 5. Verifying, monitoring and uploading employee qualifications, training and inductions for site compliance.
  7. 6. Maintaining timely and accurate data entry for all related documentation into the personnel database, reviewing and processing all personnel new starter paperwork.
  8. 7. Maintaining the company's' compliance systems and databases.
  9. 8. Assisting with project manning coordination and submission to clients.
  10. 9. Proactively forecasting to identify personnel requiring training and/or qualification renewals through scheduled auditing programs.
  11. 10. Coordinating completion of training renewals including scanning and uploading of tickets and qualifications.
  12. 11. Preparing mobilisation manning sheets for site including booking of travel, accommodation and vehicle hire.
  13. 12. Distribution of travel itineraries and accommodation confirmations to personnel.
  14. 13. Saving all related commercial itineraries, vehicle hire and other invoices against the respective job, including the generation of a cost summary of expenses post project.
  15. 14. Assisting in the preparation and execution of the project's plan.
  16. 15. Preparing accommodation, medicals, drug and alcohols screenings, vehicle hire and travel invoices for costing.
  17. 16. Maintaining the integrity of personnel filing records.
  18. 17. Escalating any and all disciplinary or grievance issues, including non-negative drug and alcohol results, affecting personnel to the Resourcing Superintendent in the first instance.
  19. 18. Coordinating completion of on-line and on-site inductions with personnel including uploading of completed training records into relevant databases and portals.
  20. 19. Providing general administrative support and assistance to the Minprovise Site Services Operations Team where required.
  21. 20. Communicating regularly with Site Services Operations team to ensure the company objectives are aligned with the team, and to assist with the development of short- and long-term improvement processes.

  22. Minimum Training, Experience, and Qualification Requirements:

QUALIFICATION/EXPERIENCE

DESIRABLE

Minimum 3+ years in a supervisory or team lead capacity in a high volume, heavy industry environment

Sound knowledge and experience with the use of the Microsoft Office Suite, including Excel

The ability to communicate efficiently on a variety of levels with sound written and verbal communication skills

A knowledge of various mine sites throughout WA and their onboarding, mobilisation and/or compliance procedures

  12. 1. Liaise with Clients and Suppliers on a cordial basis to encourage personal relationships.
  13. 2. Liaise with all colleagues on an equal and friendly basis to ensure honest two-way communication.
  14. 3. Forge good strong working relationships with Senior Managers and Personnel to ensure team cohesiveness and understanding of the 'bigger picture'.

  15. Administration:

  16. 1. Ensure all significant verbal communications with Clients is recorded and confirmed in writing.
  17. 2. Maintain drawing master files in job files or in Minprovise's filing system.
  18. 3. Ensure document control is maintained.
  19. 4. Utilise and comply with all forms and documentation in accordance with our policies and procedures.

  20. Working Relationships (Internal/External):

  21. 1. Seek new business opportunities to promote Minprovise as an Employer of Choice.
  22. 2. Maintain an effective relationship with your direct Manager, Senior Managers, any reporting employees, Supervisors, and operational / administration staff.
  23. 3. Communicate regularly with the relevant Team to promote shared and open communication.
  24. 4. Maintain effective relationships with external parties, especially Clients and Suppliers, to provide technical advice, assistance and other appropriate information to the Client/s and other external parties in a timely fashion as required.
  25. 5. Provide clients and suppliers with clear and honest information on status of their work without divulging confidential information belonging to other clients or to Minprovise.
