About the role

TOT Transport is seeking a motivated Administration and Operations Support Coordinator to join our friendly and supportive team. This full-time role operates Friday to Tuesday, 1:00 pm – 10:00 pm with hybrid working benefits.

Reporting to the Senior Operations Coordinator, the Administration and Operations Support Coordinator provides vital support across scheduling, allocations, compliance, administration and customer service. You'll play a key role in ensuring operations run smoothly, drivers are supported, and our customers receive the service excellence TOT is known for.

Responsibilities include but not limited to;

  • Route and allocate customer deliveries into driver delivery runs for next day delivery
  • Review and reconcile daily driver run sheets
  • Complete daily allocation reporting and general administration duties
  • Prepare and communicate daily reporting to the operations team and wider business as per reporting schedule
  • Assist with driver management and claims process
  • Liaise with all stakeholders, maintaining relationships including with customer management, drivers, employees, and customer's clients
  • Resolve any arising issues or conflicts
  • Adhoc admin support for the business and team

The successful applicant will be a person who possesses the following attributes:

  • Previous Transport industry experience
  • Experience in allocations and routing
  • Experience with TMS and CRM databases
  • The ability to work autonomously and as part of a team
  • Proficient with Microsoft Excel and databases
  • Highly organised with strong attention to detail.
  • Demonstrate excellent written and verbal communication skills
  • Ability to multi-task and work under pressure
  • Commitment to service excellence
  • Proactive approach and positive attitude
  • High focus on Safety and a strong understanding of COR and WHS policies and procedure
  • Current and valid Full NSW Drivers Licence with own reliable transport
