Next Practice Newstead | 15-20 hours/week across 3-4 days

Must have previous Medical or General Practice Reception Experience.

Must have at least 12 months of experience using Best Practice Software.

What You'll Be Doing – More Than Just Reception

As the first friendly face our patients see, you'll be the heartbeat of the clinic — making sure things run smoothly and people feel cared for the moment they walk in.

Your key responsibilities will include:

Patient Support

  • Welcoming patients with warmth and professionalism
  • Managing a busy phone system and triaging inquiries
  • Booking and coordinating appointments
  • Checking patients in and out, and updating records with precision
  • Managing recalls, reminders, and helping patients navigate our services

Billing & Financial Admin

  • Handling EFTPOS, Medicare, DVA, WorkCover, and health fund claims
  • Managing daily billing and invoicing.
  • Following up outstanding accounts.

Admin & Other Duties

  • Maintaining confidential patient records and managing documentation
  • Scanning, uploading, and organising clinical files and correspondence
  • Coordinating incoming/outgoing mail, emails, and faxes
  • Supporting clinic open/close procedures and keeping reception immaculate
  • Communicating with GPs, nurses, allied health, and external providers

Who You Are

You're an admin whiz with a calm, can-do attitude and an eye for detail. You thrive in fast-paced environments, love helping others, and know how to make people feel genuinely seen and supported.

You'll also bring:

  • Prior experience in a medical or allied health reception role
  • Strong multitasking and time-management skills
  • Confidence using Windows/Microsoft Office, Apple Software, Best Practice, Tyro, and HICAPS
  • Working knowledge of Medicare billing guidelines
  • Up-to-date training in First Aid, CPR, and triage practices
  • A proactive and team-first mindset – you love pitching in and solving problems
