As the Operations and Supply Coordinator, you will play a pivotal role in driving the efficient running of our business. Your responsibilities will span a diverse range of administrative, coordination, and organisational tasks.

You will deliver day-to-day support to project teams, streamlining communication between technical, finance, and operations groups. You will ensure system data, documentation, and reporting remain accurate and up-to-date, underpinning business insights and informed decision-making.

This is a dynamic position suited to someone who thrives as a key contact, efficiently manages competing priorities, and excels in a project-driven environment.

Key Responsibilities

  • Administrative Support: Maintain operational records, prepare reports, and assist with documentation and compliance tracking.
  • Contracts Administration: Vetting of contracts to make sure they align with project requirements, tenders and quotations.
  • Servicing Administration: Assist the Service Department in day-to-day activities
  • Process Coordination: Monitor and optimise internal workflows across departments to ensure timely execution of tasks and projects.
  • Logistics Management: Coordinate supply chain activities including managing overseas orders, vendor communications, and inventory tracking to support operational continuity.
  • Communication Hub: Serve as a liaison between departments, external partners, and management to ensure clear and consistent communication.
  • Data Analysis: Track KPIs, generate performance reports, and identify areas for operational improvement.
  • Problem Solving: Address operational issues promptly and propose solutions to prevent recurrence.

Qualifications

  • Proven experience in operations, administration, or project coordination.
  • Strong organisational and multitasking skills.
  • Proficiency in Microsoft Office Suite and operational software tools.
  • Effective communicator who can build strong relationships across teams and regions.
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong experience in organising and managing overseas freight.
  • Analytical mindset with attention to detail.
  • A proactive, collaborative mindset with a genuine interest in process improvement and operational excellence.

Preferred Attributes

  • Experience in logistics, supply chain, or facilities coordination.
  • Familiarity with ERP systems or workflow management platforms.
  • Good understanding of contracts and tenders.
  • A proactive attitude and continuous improvement mindset.
  • Experience in construction, engineering, or industrial services is highly regarded.
