About the role

Working directly with the Head of Partnerships, this role delivers high-level administrative, operational, financial, CRM, and stakeholder support to strengthen the effectiveness of the Partnerships, Philanthropy, and Major Donor team.

As a central coordination point, this role will drive progress on key foundational projects, support  accountability for critical deliverables, and champion partnership needs across the organisation. It will play a pivotal role in implementing shared tools, strengthening stakeholder collaboration, and streamlining processes to ensure greater efficiency, impact, and long-term success.

Day to day, you will:

  • Act as a first point of contact on behalf of the team in relation to administrative tasks and the Partnerships foundational operations project.
  • Support the Head of Partnerships and leadership team in driving the Annual Operating Plan, project managing critical tasks to ensure timely delivery.
  • Manage the Partnerships calendar, scheduling key meetings, deadlines, and funding proposals, and ensuring the team is held to account for actions and follow-through.
  • Perform financial administration duties such as processing invoices, raising purchase orders, financial reconciliation, coding, acquitting, and budgeting.
  • Perform CRM-related duties to support the optimisation and adoption of Microsoft D365, including maintaining and cleansing data, capturing opportunities, and progressing key tasks with internal stakeholders.
  • Support revenue growth activity through prospect research, portfolio clean-up, and the preparation of prospect briefs for stewardship and donor/partner meetings.
  • Undertake ad hoc projects and administrative tasks for the broader team, including reporting on partnerships, grant and tender applications, and scheduling of work.

What you will bring

  • Administrative experience in a similar role within sales, fundraising or partnerships.
  • Demonstrated track record in coordinating multiple projects, with strong attention to detail and skills in monitoring, analysing and driving deadlines to keep the team accountable for outcomes.
  • Advanced proficiency in a wide range of IT applications, including Outlook, Word, Powerpoint, Microsoft D365 and Excel.
  • Experience working with non-government organisations and community service (preferred).
  • Ability to learn budgeting processes to support across the team.
