Project Overview:

Pluto Train 2 is the expansion of a second LNG train at the existing Pluto LNG onshore facility near Karratha in Western Australia run by Woodside Energy.

Pluto Train 2 will process Scarborough gas and have an LNG capacity of ~5 million tonnes per annum. As part of the construction of Pluto Train 2, additional domestic gas infrastructure will be installed to increase capacity to ~225 Terajoules per day.

Woodside Energy has selected Bechtel to deliver the Engineering, Procurement, Construction and Commissioning scope of work for Pluto Train 2.

Woodside Energy is Australia's leading natural gas producer, and Bechtel is excited to be working with this key customer to help meet the increasing global demand for LNG as a transitional energy source.


Job Summary:

In this role, you will provide administrative support across three key areas on project. The role will assist the Senior Administrator, provide direct support and administration to the project Incentive Program and assist the communications team with event organisation and facilitation. The role will require maintenance of accurate records, managing schedules, and ensuring timely communication. Track awards for compliance, respond to participant inquiries, and assist with reporting and data management. Support event logistics and ensure all activities align with company policies and regulations.

You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.


Major Responsibilities:

  • Performs routine to complicated administrative duties of a responsible and confidential nature, under minimal supervision
  • Handles routine and complicated items independently and anticipates problems and changing priorities
  • Duties require accuracy, judgment, a moderate degree of initiative, discretion, diplomacy, and knowledge of protocol; Works with confidential information
  • Maintains a file of important matters for the executive's attention upon return
  • Anticipates changing priorities and problems, alerting the manager as required
  • Coordinates travel arrangements and travel itineraries; Prepares detailed expense reports using Concur or other expense report software as required
  • Composes routine correspondence for appropriate signature; Reviews outgoing correspondence to ensure accuracy and proper format; May be required to send documents to the client's document management system
  • Assists in coordinating internal and/or external meetings, maintaining calendar for responsible manager using Outlook or other calendar software, as appropriate
  • Compiles and distributes conference notes and meeting minutes, and the action items that result from the conferences and meetings
  • Assigns document numbers and enters into Bechtel electronic document management system


Education and Experience Requirements:

  • Requires min. 1 years of related experience


Required Knowledge, Skills, and Abilities:

  • Maintain accurate records of incentive program participants, awards, and related documentation.
  • Coordinate schedules and deadlines for program activities, ensuring timely execution of administrative tasks.
  • Assist with distributing communications about program updates, policies, and procedures to relevant parties.
  • Assist with tracking incentive awards, ensuring accuracy and compliance with organisational guidelines.
  • Respond to inquiries and provide support to participants regarding program rules and administrative processes.
  • Assist in preparing reports, presentations, and summaries related to incentive program metrics and activities.
  • Manage data entry and maintain databases related to incentive programs for reporting and auditing purposes.
  • Ensure compliance with company policies, legal requirements, and financial regulations in administrative operations.
  • Support all events and meetings associated with the Incentive Program.
  • Deliver a broad range of administrative and office support to the team in an efficient and effective manner.
  • Maintain office supplies (e.g.stationery), ensure the office is organised and well-stocked, and assist with day-to-day office needs.
  • Provide general admin support to the team, assist with ad hoc tasks when necessary to ensure the smooth running of the business.
