About us:
We are seeking two Medical Secretaries to join our Gynaecology practice in East Melbourne.
This is a wonderful opportunity to be part of a supportive team and work closely with our Surgeon while promoting a positive patient experience.
The Surgeon is a Gynaecologist and Robotic Surgeon, who specialises in managing patients with Chronic or Persistent Pelvic Pain, Endometriosis, Adenomyosis, Abnormal Period, Heavy Menstrual Bleeding and Fibroids. To say our Surgeon is delightful would be an understatement
The successful candidates would work alongside the Surgeon and a pelvic physiotherapist who consults at the practice twice a week.
About you:
We have 2 positions available;
Full-Time Medical Secretary: This role would suit someone with surgical specialist secretary experience, is eager to step up and advance their career. Our ideal candidate for this position is someone who is familiar with surgical billing and using Gentu software. This is your chance to take ownership of the practice, oversee daily operations, and lead with confidence.
Part-Time Medical Secretary: This junior role would suit a Medical Receptionist who is looking to upskill, collaborative, adaptable, and keen to work closely with both the full-time secretary and our Surgeon, contributing to a strong and supportive team culture. Experience in social media marketing is viewed highly, as there is the opportunity to take on educational and promotional marketing for the Surgeon. Training & upskilling can be provided to the right candidate, so candidates from GP/Allied Health background are welcome to apply
Our ideal candidates will have the following:
Warm, empathetic, and professional in all interactions
Strong communication skills – able to explain processes clearly and reassure patients
Proactive and organised, ensuring patient appointments run smoothly
High attention to detail in billing, documentation, and record-keeping
Able to multitask effectively while prioritising patient needs
Calm and composed under pressure, especially when managing busy clinics or urgent requests
Strong problem-solving skills with a "can-do" attitude
Works collaboratively with clinicians and team members to deliver seamless care
Responsibilities will include;
Full-Time Medical Secretary:
Answering phone calls and enquiries in a timely, professional and friendly manner
Uploading referrals, taking payments, along with scanning, filing, and other general administrative duties.
Assisting with marketing to GP clinics
Assisting with theatre bookings, theatre billing, and payment processing
Rostering and staff coordination
Ordering and managing supplies
Direct supervision of the part-time staff member
Ad hoc tasks
Part-Time Medical Secretary:
Meet and greet patients
Answering phone calls and enquiries in a timely, professional and friendly manner
Uploading referrals, taking payments, along with scanning, filing, and other general administrative duties
Manage practice inbox
Leave cover and team support
Billing for consultations
Ad hoc tasks
Days and hours
Full-Time Medical Secretary : Monday to Friday 9.00am - 5.00pm (30-minute unpaid lunch)
Part-Time Medical Secretary: Monday, Wednesday and Thursday 9.00am - 5.00pm (30-minute unpaid lunch)
Staggered start and finish times (8.00am to 4.00pm) can be offered once training is complete.
Pay rate:
Full-Time Medical Secretary: $38.00 -$40.00 per hour plus Super
Part-Time Medical Secretary (Junior role): $ $36.00 per hour plus Super
*Please note, the hourly rate for the successful candidate will be contingent upon factors such as relevant experience, required upskilling and any necessary training. The listed rate is intended as a general guide and may be adjusted in accordance with these criteria.
