O'Connor -based | Full-time, Office based, Monday to Friday, 8:00am – 4:00pm

We're looking for a motivated and friendly individual to join our team as an Administrative Assistant & Receptionist.

Required Duties

You will be the friendly face of the business while providing essential administration and receptionist skills.

Reception & Customer Service

  • Greet visitors and manage incoming phone calls professionally
  • Provide information about the company and direct enquiries
  • Maintain a tidy and welcoming reception area
  • Manage incoming and outgoing mail, deliveries, and couriers
  • Help set up and troubleshoot videoconferencing equipment

Administrative Support & Office Coordination

  • Assist with general office duties including filing, document preparation, and data entry
  • Maintain internal records, registers, and databases
  • Schedule meetings, book travel, and support event coordination
  • Provide day-to-day support to the Finance team
  • Manage the stock and dispensing of PPE items.
  • Manage office supplies and kitchen consumables.
  • Maintain office cleanliness and presentation by watering plants and tidying common areas.
  • Manage sign-in/out sheet records.
  • Coordinate with our external cleaning provider.
  • Collect mail from the PO and letterbox and distribute it.

Procurement & Systems Support

  • Help issue purchase orders and set up supplier information
  • Verify supplier details and track key documentation (e.g. insurances)
  • Assist with fuel card management and procurement processes
  • Troubleshooting
  • Asset administrative management for the business
