
Project Administrator

Reporting into the Project Delivery Manager, the new Project Administrator ("PA") will be based at our Notting Hill head office, enjoy flexibility, and have the option of hybrid working. The PA is to play a key role in ensuring smooth execution of project activities by managing documentation, scheduling, and communication across internal and external stakeholders.
Key responsibilities include but are not limited to:
- Support project planning and scheduling activities;
- Maintain project documentation, registers, and filing systems;
- Coordinate meetings, prepare agendas, and record minutes;
- Assist in preparing status reports and dashboards;
- Liaise with internal teams and external stakeholders to facilitate project activities;
- Contribute to the preparation and distribution of project communications and reports;
- Track project milestones and deliverables;
- Identify opportunities to improve administrative processes;
- Participate in lessons learned and knowledge sharing activities;
- Apply a compliance focused mindset across all operations, and;
- Always ensure a safety-first approach.
The ideal candidate will be equipped with the following attributes:
- Tertiary qualification Business Administration, Project Management, or a related field (desirable);
- Proven experience in project administration or coordination (preferably in a technical or healthcare environment);
- Ability to support and coordinate multiple, concurrent projects, ranging in scale and complexity;
- Proficiency with Microsoft Office Suite and relevant project management tools;
- Commitment to continuous improvement and professional development;
- Adaptability and readiness to handle multiple, changing priorities in a fast-paced environment;
- Team player with a positive attitude and willingness to learn;
- Exemplary understanding of compliance rules, with a proactive mindset and the ability to act as a role model in upholding and promoting compliance standards, and;
- Excellent attention to detail; relationship building, problem solving, interpersonal, organisational, time management, and communication skills.
