About the role:
We have an exciting opportunity to join Box Hill Institute as our Project Governance Coordinator and play a key role in driving the success of strategic projects. You'll provide expert governance support to project committees, manage grant reporting, and ensure smooth coordination across multiple stakeholders. This role will report directly to Executive Director - Infrastructure and Projects and sits within the Infrastructure & Projects area of BHI.
In this role, you will:
- Ensure governance frameworks and protocols are followed across all projects.
- Monitor project progress and report on risks, issues, and milestones.
- Maintain project documentation including charters, plans, and registers.
- Provide secretariat support for project control groups and steering committees
- Manage grant reporting and ensure compliance with funding agreements.
- Coordinate internal approvals and submit documentation to government portals.
- Develop and maintain project and grant reporting systems.
- Build strong relationships with internal stakeholders and project teams.
- Promote a safe, inclusive, and compliant work environment.
About you:

Degree or postgraduate qualification in project management, governance, business administration, or a related field OR substantial equivalent experience in a similar role
- Ability to coordinate complex projects and governance groups
- Apply governance frameworks and reporting protocols
- Engage and influence senior and executive stakeholders
- Build collaborative relationships across teams
- Manage multiple projects and competing priorities
Project management and collaboration tools (e.g. MS Project, SharePoint, Teams)
Experience in working collaboratively as part of a team to achieve team goals
High level of interpersonal, verbal and written communication skills, with demonstrated experience in preparing high quality, accurate correspondence and reports to stakeholders
Have, or be willing to obtain, Victorian Working with Children Check and National Police Check clearance
