The Cross River Rail Delivery Authority is building a new 10.2km rail line that includes 5.9km of twin tunnels running under the Brisbane River and CBD; with four new underground stations at Boggo Road, Woolloongabba, Albert Street and Roma Street.
Once complete, it will provide trains with a much-needed alternative rail path through the core of the current SEQ Rail network, unlocking a bottleneck and allowing more trains to run more often across the whole of South East Queensland.
The Cross River Rail Delivery Authority is also delivering multiple supporting projects and activities in conjunction with Department of Transport and Main Road. These include accessibility rebuilds for eight surface stations, construction of three new stations on the Gold Coast; upgrades for stabling yards; track works and surface rail enhancements; and the introduction of a new ETCS digital signalling system.
About the Role
This role provides high-level administrative and coordination support to ensure smooth operations for an executive leader. Duties include managing complex schedules, coordinating meetings and events, preparing and distributing briefing materials, maintaining action registers, and overseeing document control. The role also involves managing correspondence, supporting governance processes, and liaising with internal and external stakeholders to enable effective decision-making.
You will also oversee day-to-day office operations to ensure an organised, efficient, and well-functioning environment, and liaise with facilities, IT, and other business units to address office requirements, system access, and logistical needs.
This opportunity is offered as a 2-year fixed term contract with possible extension.
Key Responsibilities:
- Provide high-level administrative and executive support ensuring day-to-day operations run smoothly and efficiently.
- Oversee day-to-day office operations, ensuring an organised, efficient, and well-functioning environment.
- Manage and prioritise complex schedules, coordinate meetings, appointments, events, and travel.
- Support meetings by scheduling, preparing agendas and materials, taking minutes, and tracking action items.
- Prepare, review, and distribute written materials such as briefing notes, reports, presentations, and project documentation.
- Manage email inboxes, flagging urgent items and supporting effective communication.
- Establish and maintain organised systems for tracking records, processes, and information relevant to the team.
- Collaborate and act as the primary liaison with internal and external stakeholders, ensuring professional and diplomatic communications.
- Review and escalate incoming correspondence and briefings as needed.
- Assist with event coordination, workshops, and ad-hoc research tasks to support executive decision-making and team operations.
About You:
- Extensive experience as an Executive Assistant in a complex, fast-paced environment, with a proven ability to quickly understand organisational objectives, stakeholders, polices and processes.
- Experience overseeing or managing day-to-day office operations to keep an office organised, efficient, and running smoothly.
- Exceptional organisational and time-management skills, with the ability to manage shifting deadlines, approvals and urgent tasks.
- Outstanding ability to build and nurture collaborative, professional relationships with stakeholders, influencing decisions and negotiating commitments effectively.
- A proactive, solution-focused mindset, capable of anticipating needs and independently addressing challenges.
- High-level proficiency in professional correspondence, document preparation, and administrative systems ensuring accuracy and attention to detail.
- Experience providing executive support within QLD government or large scale infrastructure project- highly regarded.
