About the Role

We are currently seeking a Full-Time Client Retention Officer to join our friendly and growing team in Nowra (38 hours per week, Monday–Friday).

This is a pivotal, client-facing position where you'll play a key role in ensuring every client receives an exceptional experience from their first enquiry through to ongoing care. You'll be the welcoming face of the clinic, supporting clients, families, and practitioners, while helping maintain strong relationships with referrers and the local community.

Your daily duties would include:

  • Delivering excellent front-of-clinic customer service as the first point of contact for clients and visitors
  • Managing practitioner schedules and client appointments efficiently
  • Liaising with clients, families, and practitioners to ensure smooth communication and service coordination
  • Organising incoming referrals and maintaining client waiting lists
  • Strengthening and maintaining referrer and community relationships
  • Processing billings across multiple funding streams (Private, Medicare, DVA, NDIS, HICAPS)
  • Completing general administrative tasks, including emails, phone calls, reporting, and filing
  • Managing client intake forms and service agreements accurately
  • Supporting internal audits and compliance requirements
  • Coordinating clinic supplies and maintenance needs
  • Assisting with the onboarding of new practitioners and student placements

Essential Criteria

  • Proven experience in a client service or administrative role
  • Strong interpersonal and communication skills, with a professional and empathetic approach
  • Highly organised with the ability to manage competing priorities
  • Excellent attention to detail
  • Proficiency in Microsoft Office and general computer literacy
  • Previous experience within healthcare or the NDIS sector (highly regarded)
