We specialise in digital marketing, Meta advertising, lead generation and AI driven appointment setting systems. Our clients rely on us for high performing campaigns, dependable systems and predictable growth.

As the agency continues to scale, we are expanding our internal operations, sales support and administrative function. We are now hiring a Virtual Assistant (Marketing and Sales Operations) to support delivery, improve operational flow and help keep our marketing and sales systems running smoothly.

The Role

The Virtual Assistant (Marketing and Sales Operations) plays a key support role across operations, sales, admin, campaign coordination, and internal communication. You will work closely with the Founder and delivery team to ensure smooth onboarding, accurate CRM management, timely task execution, lead follow up, and organised day to day operations.

This is an internal role designed for someone who is organised, proactive, detail oriented, and able to learn quickly. You do not need to be a marketing specialist. Full training will be provided across all systems, workflows, and processes. This role offers long term progression opportunities into senior operations, client success, or agency management as we grow.

Key Responsibilities

Client Onboarding Support

• Send onboarding emails and agreements

• Review onboarding forms and collect missing assets

• Create and set up client sub accounts in the CRM

• Support onboarding calls with notes and follow ups

• Write ad scripts, landing page copy and ad copy

Project Coordination and Delivery

• Prepare briefs for media buyer, designer and editor

• Review landing pages, ads and creative assets

• Test booking links, forms, tracking and automations

• Update project management boards and timelines

• Check progress with delivery team

• Track deadlines and escalate overdue tasks

Sales Support and Lead Management

• Respond to emails and enquiries

• Confirm meetings and schedule follow ups

• Update and manage lead lists

• DM and follow up with leads via Instagram, SMS and email

• Support daily outreach activity and follow ups

Marketing
Operations and Administration

• Post content on LinkedIn and Facebook groups

• Assist with creative reviews and campaign checks

• Create custom GPTs (training provided)

• Create and train simple chatbots (training provided)

• Maintain CRM data quality

• Book internal team meetings & support daily admin tasks

• Pay invoices and update simple trackers

Requirements

• Minimum 3 years' experience as a VA, administrator, operations assistant or coordinator

• Agency or digital marketing experience preferred

• Highly organised with strong attention to detail

• Excellent communication skills

• Proactive, reliable and able to take initiative

• Fast learner with strong systems capability

• Comfortable with Google Workspace, CRMs and project management tools

• Interest in marketing, sales and the fitness industry
