About the Role
The Administrator & Facilities Support provides day-to-day assistance in maintaining the smooth operation of Trilogy Care's head office. This role focuses on supporting facilities coordination tasks, maintaining compliance records, assisting with scheduled maintenance, and ensuring essential services requirements are met under Queensland workplace health, safety, and fire regulations.
The role supports workplace moves, office updates, and general administrative functions to ensure the workplace remains safe, organised, and welcoming. Key areas include helping coordinate building services, maintaining office supplies, and assisting with internal events and employee experience activities.
This is a hands-on support role with a strong focus on administration, organisation, and providing practical assistance to ensure smooth facilities operations.
What You'll Do
Facilities & Building Support
- Provide administrative support for day-to-day coordination with the landlord and Building Management.
- Assist with scheduling and tracking planned and reactive maintenance of building systems and equipment.
- Maintain accurate records and compliance documentation.
- Support regular building inspections and audits as directed.
Space Planning & Workplace Support
- Assist with seating plans, layout updates, and small office moves.
- Provide logistical support during workplace changes and expansions.
- Contribute to smooth delivery of minor office updates.
Vendor & Contractor Support
- Liaise with service providers and contractors under direction.
- Assist in recording vendor performance and service delivery.
- Provide basic administrative support for contract records.
Compliance, Safety & Risk
- Maintain documentation to support WHS and fire safety compliance.
- Assist in coordinating emergency preparedness activities (e.g., evacuation procedures, drills).
- Provide administrative support for risk management processes.
Workplace Experience & Events
- Provide administrative and logistical support for internal workplace events and activities.
- Assist with initiatives to ensure the workplace is safe, welcoming, and efficient.
Administration & Office Services
- Manage day-to-day mail handling, courier bookings, and office supply replenishment.
- Assist with maintaining stationery, kitchen, and general office consumables.
- Provide general administrative support across the workplace.
Financial & Budget Support
- Maintain expenditure records and assist with invoice processing.
- Provide basic support for budget tracking and reporting.
- Assist with financial administration for facilities-related activities.
What You'll Bring
Essential Skills
- Demonstrated experience in administration and office support.
- Strong organisational and time-management skills.
- Good communication skills with the ability to engage staff and contractors.
- Basic understanding of workplace health, safety, and fire-safety compliance.
- Proficiency in Microsoft Office and basic record-keeping systems.
Desirable Skills
- Previous experience in facilities, property, or office coordination.
- Experience supporting workplace events or employee initiatives.
- Familiarity with helpdesk or maintenance tracking systems.
