Position Overview:

As the Administration Officer at Caldan Constructions, you will play a pivotal role in supporting our day-to-day operations, acting as a key link between our clients, trades, and internal teams. In this fast-paced, hands-on position you'll be responsible for a wide range of administrative and coordination tasks that contribute directly to the success of our projects and the overall efficiency of the business. We are seeking someone who is proactive, detail-oriented, and motivated to grow with us as our company continues to expand. This role is ideal for someone looking to build a long-term career within a forward-thinking and supportive construction company.

What You'll Do:This role offers a wide variety of responsibilities, and the following points provide an overview, but are not limited to the tasks you'll be involved in:

  • Be the first point of contact for clients, assessors, and trades.
  • Conduct insurance claim triage with insured customers to effectively coordinate causation reports and make safe requirements.
  • Maintain accurate and efficient job records and documentation to support seamless day-to-day operations.
  • Schedule and coordinate meetings, appointments, and travel arrangements for Supervisors, Assessors, and internal trades.
  • Prepare and submit contracts and other supporting documentation.
  • Communicate effectively with customers to facilitate specialist reports, quotes, and make-safe works.
  • Handle inquiries and provide timely updates to clients, stakeholders, and business partners in a professional and efficient manner.
  • Help ensure our projects meet compliance, safety, and quality standards.
  • Collaborate with a passionate, high-performing team who values your contribution.

What you bring:

  • 2+ years of administration experience (construction industry experience highly regarded).
  • A "can-do" attitude and sharp attention to detail.
  • A proactive, forward-thinking approach - you're always a few steps ahead.
  • Strong Microsoft Office proficiency and excellent written and verbal communication skills.
