About the role
We are seeking a highly organised and detail-oriented Senior Project Administrator to join our team at the Australian Skills Development Institute in Brisbane. In this full-time role, you will be responsible for providing comprehensive administrative support within outsourced, multi-project, client related contexts.
What you'll be doing
- Providing comprehensive oversight of project administration, scheduling, and coordination for curriculum development and related training delivery projects to ensure efficient execution.
- Developing and maintain detailed project documentation, schedules, tracking milestones, workflows, and deliverables.
- Preparing, reviewing, and presenting submissions, status updates, and project reporting updates to stakeholders and management, including analytical insights, risk management, and recommendations to inform decision-making.
- Building and maintaining reporting dashboards and tools in Microsoft Power BI and Excel to track exceptions, escalation triggers, and human resources workflow performance in real-time.
- Redesigning process frameworks and implement standardised SharePoint structures to centralise documentation, automate task tracking, and improve data accessibility.
- Engaging with subject matter experts, project managers, and other stakeholders to ensure technical and operational schedule requirements are met.
- Identifying, assessing, and proposing project risk mitigation responses and monitor and report on implementation of risk mitigation strategies and contingency plans.
- Overseeing contractor deliverables and report on performance variations against work orders.
What we're looking for
- Minimum ten years' experience in program or project administration in complex multi-stakeholder environments.
- Minimum eight years' project administration experience in nationally regulated vocational education and training (VET) organisation contexts.
- Demonstrated experience in developing and maintaining complex project schedules and resourcing plans.
- Excellent communication and interpersonal skills, with the ability to liaise effectively with stakeholders at all levels.
- Proven track record in implementing process improvements and standardised documentation systems.
- Experience in building and maintaining real-time reporting tools and dashboards in Microsoft Power BI and Excel.
- Experience conducting risk and compliance reviews, reconciliations, and governance reporting, with presentations to senior management
- Strong preference for relevant experience gained in multi-cultural, developing country contexts.
- Tertiary qualifications in a relevant field (e.g. Postgraduate level in Business Administration, Project Management)
