ABOUT THE ROLE

The Training & Apprenticeships Compliance Officer is responsible for ensuring RTO & GTO compliance obligations and upholding both regulatory standards and operational integrity.

DUTIES

  • Serve as the primary driver of the RTO's Octossure Assurance system. This may include uploading evidence, monitoring compliance gaps, generating audits and reports, and managing maintenance of trainer currency records
  • Maintain currency with ASQA/VET Quality Framework requirements and ensure compliance with regulations and standards
  • Conduct internal audits and policy documentation updates
  • Establish, manage and monitor RTO moderation and validation schedules for all Units of Competence on scope
  • Monitor and manage compliance against State/Territory-specific standards for RTOs including those imposed under formal funding agreements
  • Work directly with trainers and the operations team to input data, ensure submission of required evidence (e.g., electrical work currency logs), and promote system uptake
  • Escalate areas requiring focus to the RTO Compliance Committee for intervention
  • Recommend system enhancements and process improvements
  • Maintain accurate records, policies, and systems aligned to regulatory frameworks
  • Assist with enrolments, completions, and participant enquiries, as needed
  • Review and enhance assessment tools, competency matrices and assessor resources
  • Liaise with team members and external parties
  • Maintain strong understanding of training packages and assessment requirements
  • Assist NECA EA in the accurate and timely satisfaction of GTO and Labour Hire compliance obligations
  • Conduct internal audits and policy documentation updates
  • Prepare re-registration submissions
  • Monitor and ensure compliance with the Group Training Standards, apprenticeship Acts in each jurisdiction and all other relevant legislation
  • The duties outlined in this position description are not exhaustive and may require the position holder to perform other relevant duties as required and/or directed.
  • Reasonable contact outside of normal working hours to respond to urgent queries and/or queries related to the operational requirement of the business.
  • Some inter and intra state travel
  • Predominantly office based

KEY PERFORMANCE INDICATORS

  • Maintain 100% readiness for internal and external audits at all times, with no critical non-compliances identified
  • Ensure any non-compliances are reported regularly to the relevant manager / Management Committee
  • Track and communicate relevant changes to Australian and State/Territory standards for RTOs ahead of effective activation date
  • Ensure Octossure data accuracy through regular validation checks
  • Deliver compliance reports to the RTO Compliance Committee by agreed deadlines
  • Assist NECA EA to meet GTO and Labour Hire compliance requirements
  • Ensure GTO and RTO re-registration submissions are prepared and submitted in time.

ESSENTIAL CRITERIA

  • Experience in an RTO compliance or quality assurance role
  • Working knowledge of student management systems
  • Strong attention to detail and ability to work systematically and independently
  • High IT systems literacy—comfortable owning and mastering complex compliance software environments (crucial for Octossure)
  • Demonstrated RTO compliance experience
  • Excellent interpersonal and communication skills
  • Demonstrated knowledge of legislation and regulations pertaining to RTO operations
  • Excellent attention to detail, organisational and time management abilities
  • Ability to collaborate effectively with a diverse range of stakeholders
  • Ability to manage schedule and work autonomously

DESIRABLE CRITERIA:

  • Certificate IV in Training and Assessment (TAE40116 or higher)
  • Demonstrated of GTO legislation and regulations
