We're Hiring: HVAC Service Scheduler & Coordinator
Location: Wangara, WA 6065
Employment Type: Full-Time

We're looking for a HVAC Service Scheduler & Coordinator to join our dynamic team In this pivotal role, you'll coordinate field service activities, manage schedules, support inventory control, and ensure our service operations run like clockwork.
Key Responsibilities:
Scheduling & Coordination
- Manage daily technician schedules in collaboration with the HVAC Service Manager.
- Coordinate planned works and liaise with clients to confirm appointments.
- Allocate and oversee subcontractor jobs from initiation to completion.
- Arrange travel logistics for remote works.
- Manage technician leave and update schedules accordingly.
Job Management & Reporting
- Support job reporting and documentation with Service Admin and HVAC Manager.
- Raise purchase orders and issue subcontractor POs for maintenance tasks.
- Monitor job notes, technician hours, and parts used.
- Escalate complex job progress updates to management.
System & Process Management
- Oversee job tracking through Uptick and ensure accurate task locations.
- Proactively resolve field and service department issues.
- Help improve procedures for order tracking and workflow.
Warehouse & Inventory
- Control incoming parts and maintain technician storage areas.
- Monitor inventory levels and advise on shortages or reorders.
General & Ad-Hoc Duties
- Handle incoming service-related calls and client inquiries professionally.
- Assist with various administrative tasks as needed.
- Escalate unresolved or complex issues to management promptly.
What You Bring:
- Experience preferred in a scheduling or coordination role, but training can be provided for the right candidate.
- Excellent communication and multitasking skills.
- Strong attention to detail and the ability to prioritise under pressure.
- Confident using scheduling/job management software (e.g., Uptick or similar).
- A team player with a customer-first attitude.
