Position Overview
The Event Coordinator is responsible for the successful planning, coordination, and execution of all events at Frogmore Creek. This includes weddings, private events and corporate functions.
This role requires excellent attention to detail, strong communication skills, and the ability to deliver seamless guest experiences that reflect the winery's premium brand. The Event Coordinator will work closely with clients, the kitchen team, function staff and external suppliers to ensure each event is delivered to the highest standard.
The role demands flexibility, with regular evening and weekend work required to support our busy event calendar.

We are seeking a motivated and professional applicant with proven experience in the hospitality industry. The ideal candidate will bring practical knowledge of both front-of-house and back-of-house functions, with the ability to balance customer service excellence with operational efficiency. The successful applicant will be proactive, adaptable, and solutions-focused, with the capability to work both independently and as part of a team. A genuine passion for hospitality, attention to detail, and the ability to anticipate the needs of guests and colleagues are key attributes we are looking for.
Key Responsibilities
Event Planning & Coordination
- Coordinate and deliver events including weddings, private functions and corporate events.
- Liaise with clients to understand event requirements, budgets, and expectations.
- Prepare event proposals, run sheets, and floor plans.
- Ensure smooth communication with kitchen, cellar door, and operations teams.
- Host site visits to understand client requirements, offering tailored solutions that align with winery offerings.
- Ensure smooth set-up and pack-down of events.
- Be present on event days as the key contact, ensuring everything runs on schedule.
Client & Guest Experience
- Provide exceptional customer service throughout the event planning process.
- Act as the main point of contact for clients from booking to event completion.
- Host site inspections for prospective clients.
- Uphold the winery's reputation for warm, professional, and memorable hospitality.
- Operational Support
- Oversee set-up and pack-down of events, the venue presented to the highest standard.
- Coordinate with external vendors such as florists, AV, stylists and musicians.
- Ensure compliance with food safety, RSA, and workplace health & safety requirements.
Skills & Attributes
- Strong organisational and multitasking skills with a keen eye for detail.
- Excellent communication and interpersonal skills.
- Ability to remain calm under pressure and resolve issues quickly.
- Proficiency in event management software such IVvy, and Microsoft Office Suite.
- Flexibility to work evenings, weekends, and public holidays as required.
Qualifications & Experience
- Previous experience in event coordination (hospitality or winery setting highly regarded).
- Knowledge of food, wine, and hospitality service standards.
- Current Responsible Service of Alcohol (RSA) certificate.
- Valid driver's licence.
- Hospitality management skills and rostering experience an advantage.
