About the Role

We are seeking a versatile and proactive Administration Assistant to join our Melbourne team based in Docklands on a permanent part-time basis hours/week) with the potential to transition into a full-time role. You will play a vital role in the daily operations of the business, providing administrative and secretarial support to the Branch Manager and the broader team.

Key Responsibilities

  • Serve as the first point of contact for clients, visitors, and suppliers

  • Handle reception duties, including phone enquiries, greeting guests, and managing general office tasks

  • Assist with preparing proposals, quotes, reports, and other documents

  • Manage meeting room bookings, catering, and set-up for internal/external meetings

  • Organise travel arrangements for the Melbourne team

  • Maintain office supplies, manage contractors, and ensure the office space is clean and well-organised

  • Provide administrative support to the project management team including tender documentation packages, sourcing supplier quotes, preparation of statutory authority application forms, project reports and contract administration

  • Assist with the preparation and issuing of document transmittals, review and maintain document revisions (training provided)

Qualifications & Experience

  • Demonstrated experience working in an office environment providing administration support

  • Experience in an engineering or architectural office is a plus, but not required
