Plumbing Administrator/coordinator

The Plumbing Administrator/coordinator plays a key role in supporting the day-to-day operations of a Todd Goodwin Plumbing & Leak Detection. This position is responsible for coordinating schedules, managing customer communications, processing work orders and invoices, maintaining compliance documentation, and supporting fellow employee and plumber and management with administrative tasks. The ideal candidate is highly organised, detail-oriented, and capable of multitasking.
Key Responsibilities:
· Schedule plumbing jobs, assign work to plumbers, and coordinate with customers.
· Answer incoming calls and emails, providing excellent customer service and responding to inquiries promptly.
· Process job orders, service reports, timesheets, and invoices accurately and in a timely manner.
· Maintain records of plumbing work, warranties, permits, fleet compliance and safety documentation.
· Ensure compliance with local regulations and licensing requirements.
· Order and track inventory, tools, and materials as needed.
· Support payroll processing by collecting and verifying worker timesheets.
· Liaise between plumbers/labourers/director, clients, and management to ensure smooth job execution.
· Track job progress and update director or scheduling software accordingly.
· Prepare reports for management regarding job status, expenses, and performance metrics.
· Assisting in keeping work shed clean and fleet in presentable order.
Requirements:
· Proven experience in an administrative role, preferably within plumbing, construction, or maintenance services.
· Excellent communication and customer service skills.
· Strong organizational skills and attention to detail.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook), scheduling software (e.g., Tradify) and accounting software (Xero)
· Ability to multitask, prioritize, and manage time effectively.
· Knowledge of plumbing terminology and processes is a plus.
· High school diploma or equivalent; additional certification in administration or office management is an advantage.
