Australia and New Zealand's leading concert promoter, Frontier Touring, are looking for a highly motivated and self-driven Tour Operations Coordinator to join our team.
The Tour Operations Coordinator will work with Tour Director(s) as a liaison with all other relevant Frontier Touring departments, as well as the artist representatives, to ensure that allocated tours are delivered at a high standard, from the time the offer process begins through to the settlement.
This is an administrative role that also requires strong communication and problem-solving skills, working as a key connector between our internal teams, artist teams and our Tour Directors (Promoters). The successful candidate will have great attention to detail, problem-solving abilities, strong organisational skills and be able to juggle multiple priorities in a fast paced, often hectic, but fun and creative environment.
We appreciate that this won't be a role that suits everyone For this role, the successful candidate will need to have proven experience in a similar, fast paced role with changing demands (within live touring), be resilient and be comfortable working in the grey.
This is a full-time hybrid position (3 office days) which can be based out of either our Woolloomooloo or South Melbourne offices.
As well as being incredibly organised with great attention to detail, the successful candidate will also have strong communication skills and prioritise relationship management, never hesitating to pick up the phone to talk through challenges and solve problems or to track down information. You will be confident adapting to working with changing priorities and comfortable working with ambiguity.
You will also have strong technology skills, an eye for formatting and be able to pick up systems and procedures quickly. This will include maintaining digital filing systems, calendars, schedules and databases, as well as providing general administrative support to the touring team as required.
The nature of this role will allow you build strong relationships across the industry and to gain a broad understanding of business. Your ability to be both proactive, as well as to quickly respond to internal and external enquiries, will be essential to your success in the role.
On a day-to-day basis, the Tour Operations Coordinator will be responsible for:
- Work with Avails Coordinator to source avails, hold itineraries and contract venues.
- Assisting with adjustments to Tour Budgets and prepare Deal Offers.
- Assisting with developing draft ticket scaling and proposals for VIP execution and ancillary product
- Communicate with Artist's agent or manager on behalf of the Tour Director.
- Act as the central point of reference for all key tour information, budgets and ticketing/ venue requirements – including communicating updates, distributing information and ensuring documentation is always current and correctly filed
- Work with Tour Director and Marketing & Communications (M+C) Lead to determine announce and on-sale timelines and requirements for external pre-sales (sponsorship, Artist) where required.
- Coordinate the "kick off" process and documentation for the tour when it is confirmed
- Draft playing times for approval in conjunction with Tour Director and Production Lead (including number of supports, curfews, set times, door times), prior to tour announcement.
- Proof relevant marketing assets including email campaigns and websites, and cross check all webpages, in conjunction with M+C and ticketing team.
- Liaise with Tour Director and Ticketing Director or Ticketing Lead to monitor & manage inventory during the on-sale process.
- Ensure the relevant internal contact delivers regular & accurate ticket sales updates, and reports to relevant internal and external stakeholders during the on-sale process and the entire campaign.
- Assist Tour Director and legal team in reviewing key terms in artist contracts and sell off agreements.
- Work with internal teams on the run home strategy
- Liaise with Tour Director, SLT and promoter reps to coordinate and compile accreditation and guestlist requirements.
- Assist the Tour Director and relevant departments to review the interim tour settlement, prior to delivering to the agent or manager.
As part of a business that's main purpose is to connect artists with their fans, it is expected that you attend gigs to see the shows come to life as part of your role – so working outside of standard business hours will be a requirement of this role.
