Job Title: Education & Ensemble Tours Manager, Hayllar Music Tours

Reports to:Head of Education & Ensemble Tours, Hayllar Music Tours

Location of job: Phillip Street, Sydney

Appointment type: Full-time

The Education & Ensemble Tours Manager will work closely with the Head of Education & Ensemble Tours in creating proposals and planning school, choir and orchestra tours.

Tour planning and tour management including:


• Researching, sourcing quotes and booking hotels, transport (flights, trains, coaches, boats), restaurants, musical instruments, local guides and sightseeing visits etc. (within budget) for luxury tours, and for school, choir and orchestras tours.


• Making arrangements for Tour Leaders and freelance Tour Managers including preparing and finalising the tour agreement; booking flights, car transfers and additional hotel nights; confirming pre-concert talk requirements; compiling and posting tour documents and briefing Tour Leaders and freelance Tour Managers.


• Reviewing, negotiating and signing contracts from suppliers such as hotels, airlines, coaches, venues etc.


• Liaising with venues, festivals, orchestras and choirs to confirm arrangements for concerts and workshops for school, choir and orchestra tours.


• Liaising with box offices and venues to arrange concert tickets for school, choir and orchestra tours.


• Preparing, negotiating and finalising contracts with recital artists, schools, choirs, orchestras etc.


• Preparing tour itineraries for luxury tours and for school, choir and orchestra tours.


• Preparing tour booklets including reading lists, background information and reference material.


• Maintaining, overseeing and signing off on the actuals for select tours and contributing to the preparation of future budgets.


• Assisting with the marketing and publicity of concerts for school, choir and orchestra tours.


• Responsibility for making visa arrangements, where necessary.


• Attending meetings and information evenings with schools, choirs and orchestras.


• Travelling on tours both within Australia and internationally to act as Tour Manager.


• Occasionally prospecting activities associated with a tour such as hotels and venues.

Education & ensemble tour administration including:


• Continuing to develop, implement and execute policies and procedures ensuring the successful and efficient delivery of school, choir and orchestras tours.


• Assisting the Head of Education & Ensemble Tours with market research for potential opportunities for school, choir and orchestras tours.


• Assisting the Head of Education & Ensemble Tours to create proposals for bespoke tours for school, choir and orchestra tours in a timely manner.

General tasks:


• Maintaining the database (Zoho).


• Other duties as required.

Qualifications and experience:


• Excellent spoken and written English.


• A high level of computer literacy.


• Relevant tertiary qualification.


• Experience with tour planning, coordination and execution.


• Experience with working on production, technical and staging aspects of classical music performances.


• Knowledge of and/or genuine interest in the arts (classical music, opera, theatre and art).


• Proven ability to work multiple timelines to deadlines with accurate attention to detail.

Salary: Dependent on experience
