AW Maritime is a specialist engineering consultancy providing a broad range of maritime civil, structural and coastal engineering services to clients throughout Australia and internationally.

We specialise in the planning and design of port and coastal infrastructure for a range of clients including port authorities, government agencies, terminal operators, harbour managers, and various private clients. Having worked on all manner of maritime projects, from large-scale greenfield port developments to smaller scale coastal protection works, AW Maritime has established itself as a leading engineering service provider, with a growing client base and an increasing portfolio of projects in the pipeline.

As a result of our continued growth, we are seeking a
full time or part-time
project administrator
to support our team. The position is based in our office in Port Melbourne, Victoria and working hours can be negotiated to suit circumstances (expected commitment minimum 3 days/week). This position has scope to develop with increased responsibility based on the skills and interests of the successful applicant.

The Role:


Supporting project managers with project coordination and administration tasks

Managing project documentation including contracts.

Assessing and processing project invoices, and purchase orders

Liaising with subcontractors and subconsultants

Shape and refine technical content provided by engineers

Tracking project progress and monthly reporting

Scheduling and organizing project meetings

Writing and distributing project meeting minutes

Support the Regional Manager with tasks for business initiatives to support continuous improvement

Update company templates to streamline processes

Support company marketing initiatives

Prepare bid submissions which will include technical writing, fee estimates, schedule creation (MS Project), team selection and project experience.


Experience and required qualification(s):

  • Experience in a project administrator role or bid coordinator on civil infrastructure projects
  • Understanding of an engineering consultancy is desirable
  • Ability to work in a team environment both face-to-face and virtually
  • Excellent written communication skills preferably with experience in technical writing
  • Excellent eye for detail
  • Strong verbal and interpersonal communication skills
  • Competency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with Canva and Aconex
  • Passion for the coast and marine environment
  • The right to live and work in Australia
