About the company
Ports North is responsible for the development and
management of port facilities vital to the economic growth of Cairns and
regional centres in Far North Queensland. Ports North has extensive property,
marina, tourism and cargo facilities in Cairns and across nine regional and
remote ports and is responsible for managing more than 230 commercial leases
and licences.
About the role
Proactively undertake the administration of Ports North property, retail and other property business undertakings to maximise returns through effective financial and property account administration.
Duties & Experience
Reporting to the General Manager Commercial, you will be responsible for contributing to the management of the administration of Ports North property, retail and other commercial business undertakings. Key duties include:
Provide administrative support to the General Manager Commercial and Property Manager including recurring projects (annual tenant communications, rent analysis reporting, supporting financial audits and organising team meetings) and assisting with commercial and property management activities.
Undertake timely and accurate invoicing for all PN property and commercial agreements, including maintenance of all associated records and reports as well as payment of property related invoices.
Administer all PN sublease property related agreements to deliver effective sublease management, including updating Flex Property.
Coordinate tenant compliance including lessee compliance statement, environmental reporting, insurance co-ordination and fire occupier compliance in accordance with the lease requirements
Timely processing of relevant DOR valuation and land tax spreadsheets, for review by the Property Manager.
Tenant liaison for maintenance matters including notices and co-ordination with the Assets team.
Assist Property Manager with co-ordinating with the Assets team, to ensure property maintenance matters are identified and addressed in a timely manner and in accordance with established property management practices and legal requirements.
Provide back-up for the Property Manager.
Work co-operatively as part of the Property team to ensure the property management functions are effectively managed and data integrity across systems is maintained.
Develop and maintain effective relationships with customers and stakeholders to ensure ongoing needs are met and issues are promptly addressed as well as maintain and update property databases (contract stakeholders).
Identify and implement opportunities to improve systems and processes.
The successful applicant will be a self-starter with property administration experience including tenant management, financial administration and management of property agreements, together with demonstrated experience in the use of property management systems. Well-developed communication and interpersonal skills are essential. An understanding of commercial leases, property management compliance and regulatory requirements will be highly regarded.
