We are looking for two people who, importantly, fit our friendly team, and also have a passion or interest for helping people and would suit working in the legal industry. We currently have the following positions available:
- Client Liaison & Administration Support; and
- Legal Secretary.
The right candidates will possess a desire to interact with and help both clients and lawyers, excellent attention to detail, ability to follow processes required to be followed in compliance with our legal obligations, use initiative, employ fantastic problem-solving skills, and the integral ability to be a team player.
Key duties for these roles will include:
Client Liaison and Administrative Support
- Client and third party liaison, including answering phones, directing calls to staff, taking messages, dealing with initial and ongoing client enquiries and booking appointments for clients;
- Invoicing and taking payments, including receipting of payments;
- Providing assistance to clients, where appropriate;
- Booking appointments and diary management for lawyers;
- Office email and document management, including saving to files and forwarding to relevant staff;
- Ordering of stationery;
- Closing and archiving of completed files and file destruction; and
- Other general administrative duties, as directed.
This role is full-time - 8.30am (although we are happy to accommodate a later start time for school drop-offs for children) until 5pm daily.
Legal Secretary
- Providing assistance to clients and answering their queries;
- General secretarial duties such as banking;
- Legal secretarial duties including providing support to lawyers, drafting legal documentation and correspondence, legal and general research, and preparing costs disclosures and agreements;
- Management of client files alongside lawyers;
- Support of other staff as required, including but not limited to back-up and relief reception;
- Client and third party liaison including answering phones, directing calls to staff, taking messages, dealing with initial and ongoing enquiries and booking appointments for clients as required;
- Diary management for all lawyers including communicating with lawyers on a regular basis to confirm their current workloads and capacity for the purpose of booking new client and existing client appointments; and
- Other duties as directed.
Full-time is preferred for this role, however, we are open to considering part-time arrangements for the person who is the right fit for our team. Please identify your preferred working arrangements in a cover letter.

To qualify for either of these roles, you must have the attributes outlined above, together with the following:
- Excellent communication skills, including written communication;
- Good computer literacy;
- Proficiency in Word, Excel and video conferencing systems such as Teams and Zoom;
- Attention to detail;
- Ability to multi-task and prioritise; and
- A friendly and approachable personality.
Experience is preferred but not essential for either role, as long as you have a willingness to learn and take pride in providing support to the team and excellent customer service to our clients.
On-the-job training will be provided. We are currently in the process of automating our processes so are learning a new way to do things ourselves. However, salary will be commensurate with experience in the legal industry.
