Administrative Assistant – Tile Wholesale (B2B)

Location: Melbourne VIC

Job Type: Full-time (Monday–Friday)

Industry: Building Materials / Tile Wholesale (Wholesale Only)

About Us

We are a well-established tile wholesale company based in Melbourne, supplying retail stores, design studios, and trade customers across Australia. As our business continues to grow, we are looking for a reliable and detail-oriented Administrative Assistant to join our team.

This role involves daily communication with retail store clients nationwide as well as coordination with our Sydney branch, so strong communication and organisational skills are essential.

Key Responsibilities B2B Customer Communication

  • Communicate with retail store clients regarding product availability, stock levels, delivery ETA, and order updates
  • Respond to customer enquiries via phone and email
  • Follow up on payments in a polite and professional manner

Interstate Coordination (Melbourne Sydney)

  • Liaise daily with our Sydney branch regarding orders, stock, and dispatch schedules
  • Coordinate interstate freight and delivery information

Administrative & Order Management

  • Enter and update orders, inventory records, and price lists
  • Prepare delivery documents, pick slips, and labels
  • Assist with invoices, statements, and monthly reconciliations
  • Work closely with the warehouse team to ensure accurate dispatch and documentation

Requirements

  • Strong proficiency in both English and Mandarin (spoken and written)

(Used for communication with local customers and internal)

  • Strong attention to detail and accuracy
  • Good English communication skills (especially email writing)
  • Ability to multitask and manage communication with multiple clients
  • Proficiency in basic computer software (Excel, Word, Email)
  • Experience in administration, customer service, or building materials preferred
  • Proactive, responsible, and able to follow processes

Nice to Have (Not Required)

  • Experience in tiles, flooring, building materials, logistics, or wholesale
  • Ability to speak Chinese (useful for supplier communication)
  • Experience with MYOB / Xero
  • B2B customer service or purchasing experience
