About the Role: As our Functions and Events Administration Coordinator, you'll predominantly work Monday to Friday, overseeing the administrative planning, coordination, and support needed for a variety of functions and events, from corporate meetings to private celebrations. You will work closely with clients, internal teams, and vendors to ensure seamless event planning and execution.

Key Responsibilities:

  • Assist with client inquiries and provide administrative support for event planning
  • Manage bookings, schedules, and event documentation using iVvy, Delphi, and other systems (preferred)
  • Prepare and send event quotes, contracts, and proposals
  • Coordinate with the Operations Coordinator and team to facilitate event logistics
  • Maintain accurate records, run sheets/BEOs, and documentation for events
  • Support sales activities, follow up on leads, and promote event services
  • Ensure all event-related administration complies with quality, safety, and customer service standards

About You:

  • Proven experience in event administration, coordination, or hospitality management
  • Strong organizational and administrative skills with attention to detail
  • Excellent communication and interpersonal abilities
  • Ability to multitask, prioritize, and work under pressure
  • Experience using iVvy, Delphi, or similar systems is highly advantageous
  • Flexible to work various shifts, including occasional weekends and evenings
  • Positive, client-focused attitude
