The Role
The Systems Analyst will report to the Group Corporate Services Manager and will partner with business stakeholders to plan, develop, and manage procurement arrangements to effectively meet organisational and business objectives.
This position will be supporting all aspects of the supply chain, including data analysis from supplier selection/pre-qualification and best price, through inventory management and re-supply functions will be core to the position's responsibility & accountability.
The position will work closely with the Group Corporate Services Manager and will assist the purchasing processes and asset lifecycle across Australia & New Zealand, with a strong emphasis on systems analyst, including but not limited to the following supply functions; pre-qualification & selection of suppliers, ongoing data analysis of procurement transactions and Pronto ERP data and systems, requisition/ordering process and approvals, freight providers, receiving/receipting functions, and inventory control.
Key Responsibilities:
- Provide procurement activities including but not limited to the following:
- Deliver effective and efficient service to Internal and external customers.
- Undertake business needs assessment and supply market analysis to inform procurement planning and sourcing decisions.
- Support development, co-ordination and sourcing activities to establish supply arrangements that meet business requirements.
- Work collectively with the Group Corporate Service Manager to formulate and document business requirements
- Can take on responsibility for deploying functional solutions in Pronto ERP, such as creating, adopting and implementing system test plans and procedures, to ensure acceptable quality and integrity of the system and in line with ISO Certifications.
- Assist with developing functional specifications for use by Pronto system developers and end users.
- Identify solutions, suggesting improved methods and techniques with a view to recommend system improvements.
- Develop data dashboards and reports to assist the Group Corporate Services Manager to administer contract management plans, negotiate changes and modifications, supplier performance management and compliance requirements through effective supplier relationships to enhance business outcomes.
- Contribute to the monitoring of benefits delivered, both financial and non-financial, comparing to contracted outcomes and developing mitigation options where appropriate.
- Provide customer and market information that underpin effective supplier negotiations and negotiate agreements that deliver cost effective solutions.
- Must be able to identify, investigate, and analyse business processes, procedures and work practices to enhance Corporate Services departments.
- Partner with employees from across the organisation providing high level advice and guidance to build expertise in procurement, provide governance and improve procurement practice and outcomes.
- Support to identify, manage and mitigate procurement risks to enable the organisation to meet its obligations and maximise business opportunity/efficiency.
- Assist to establish and maintain a contract register for all Optic Security Group supplier contracts.
- Assist with data entry and data correction activities in software portals and ERP.
- Build and maintain long-term relationships with vendors and suppliers.
- Verbal, written, and interpersonal correspondence with vendors, clients, and organization-wide team members as required.
- Identify and evaluate inefficiencies and report recommendations to Corporate Services to optimise business practices, and system functionality.
- Review purchase orders in accordance with the organisations delegation's authority/matrix.
- Work with business stakeholders to manage procurement levels in accordance with the maintenance and project requirements to successfully deliver on project timeframes.
- Report continuous improvement initiatives regarding procurement/inventory/consignment functions with a focus on cost savings.
- Develop and prepare procurement reports with clear data justification.
- Ensure compliance of Optic Security Group Policies & Procedures and report any breaches if identified.
- Assist with creating user and training documentation and conducting formal OSG training classes.
- Must act as a central reference and information source to provide guidance and assistance in Pronto ERP decision-making process.
- Take leadership responsibility for deploying functional processes, such as creating, adopting and implementing Pronto data system test plans, to ensure acceptable quality and integrity of the Pronto.
- Provide administrative assistance and direct support to the Group Corporate Services and Quality Health Safety teams, as assigned.
