About the role:
We are seeking an experienced person to provide administrative support and data entry to assist the Archivist in ensuring records pertaining to the Sisters of St John of God are sorted, digitised, catalogued and packed for storage. The position may be required to provide administrative support to other areas within Regional Office at the Subiaco site from time to time.
About us:
The Sisters of St John of God (SSJG) is an international community of women religious in the Catholic Church, founded in Wexford, Ireland in 1871. The Sisters arrived in Western Australia in 1895 and began a long ministry of caring throughout Australia. Many others followed from both Australia and Ireland and for over a hundred years the Sisters have offered a wide range of health care, education and other services to the people of Australia. SSJG Ministries Inc. is a Catholic charitable organisation operated by the Sisters of St John of God. It carries on the major charitable activities of the Congregation.
Key Responsibilities:

Provide administrative support to the Archivist.

Liaise with Regional Office regarding administrative and operational matters.

Provide administrative support in a relief capacity to Regional Office if required.

Provide information in response to enquiries from Regional Office.

Manage and maintain archival supplies ensuring that all supplies are adequate and securely stored.

Receive and document heritage donations as per the Collections Policy

Prepare and scan records for cataloguing.
-
Transfer data from hardcopy documents to the database (Mosaic) in accordance with standards and procedures of the organisation.

Sort and organise hard copies of paperwork after entering data electronically.

Review data for deficiencies and errors.

Prepare and store hardcopy records for long term storage and preservation, for eventual relocation.

What skills, experience and other requirements you will need:

Previous experience in administration, data entry and searching databases

Excellent organisational skills and attention to detail

High level of written, verbal and interpersonal skills

A strong work ethic with a professional attitude

A high level of confidentiality

Previous experience using Microsoft Office suite

A right to work in Australia

Highly desirable – experience using Collections Mosaic (Collections Management Software)

Current Police Check (3 months) or willingness to obtain one
