Job Purpose
Provide technical and project management support to an individual, team or a function, which typically includes tasks such as planning support, scheduling, data entry; the maintenance of financial records; compiling of reports; the processing and completion of forms, stakeholder communications; team meetings / event logistics; and in-field support to Maintenance and Projects teams, including safeworking duties and other technical rail activities within their level of competence and the National Rail Competency Framework.
Key Responsibilities
Provide technical support data processing for the UGLRL Asset management system HxGN.
Support and monitor the execution of the Technical Maintenance Plan and 3MWP.
Provide technical support, process, and reporting in relation to Preventative and Corrective maintenance activities within the UGLRL Asset management system.
Assign work orders and assist with reviews for accuracy and adherence to required standards.
Support Infrastructure Leadership and internal/external client-based maintenance activities
Manage and coordinate calibration and Infrastructure test/tag activities within compliance and to Standard.
Monitor and support overall job planning and programming including short & mid-term activities for Infrastructure teams and the 3MWP delivery.
Facilitate asset management system updates (i.e. HxGN / SharePoint configuration changes and records maintenance)
Manage procurement and accounting activities on behalf of the infrastructure teams, including obtaining quotes, raising PO, Invoice matching through VMS system, and processing to payment. Maintain committed costs for maintenance and project activities.
Develop and maintain office filing and database systems, storing information accurately and safely.
Ensure expenses, invoices and timesheets are processed and are in line with contractual obligations.
Analyse and use document and record management, progress, project performance reporting and compliance reporting.
Assist in the creation and preparation of correspondence, documents, reports, presentations, and/or publications relevant to the project's operations.
Provide administrative support which may include arranging and attending meetings, conferences, functions, taking and distributing minutes, and making travel and accommodation arrangements.
Qualifications
High School Certificate Typical
Certificate III in Business Administration
Current Class 1 (Minimum) Driving License
Technical competencies as per National Rail Safety Framework
