Are you an experienced Executive Assistant who thrives in a fast-paced, global environment? This is an exciting opportunity to join a high-performing team within a leading international investment business. You'll provide seamless support to a group of senior stakeholders while contributing to office administration and working closely with counterparts across APAC

This role is ideal for someone coming from a private equity, investment management, funds, or broader financial services background. You will support 4-6 team members at different seniority levels, coordinate extensive global travel, and play a key role in driving operational excellence across the Sydney office.

About the Role

In this multifaceted position, you will:

  • Provide high-volume EA support to senior investment professionals.
  • Manage complex calendars and schedule meetings across multiple time zones
  • Coordinate domestic and international travel
  • Process monthly expenses and maintain accuracy in Concur (or similar systems).
  • Prepare documents, presentations, and meeting materials.
  • and shared front-of-house responsibilities.
  • Partner with a global EA network to ensure seamless executive coverage and communication.
  • Assist with general office administration such as booking meeting rooms, greeting visitors, and coordinating events.

This position is fully office-based, Monday to Friday, and requires someone who is adaptable, proactive, and accustomed to supporting leaders who frequently travel across the region.

What We're Looking For

  • 6+ years' Executive Assistant experience within financial services, ideally private equity, asset management, or investment banking.
  • Ability to thrive in a less structured, fast-changing environment.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication.
  • High level of proficiency in the Microsoft Office Suite.
  • Proven ability to manage competing deadlines and shifting priorities.
  • Experience working with global teams across multiple time zones.
  • Professional, solutions-focused, and able to anticipate needs.
  • Must be immediately available or able to start in early January
