Reporting to the Chief Executive Officer, the Executive Assistant role will cover:
•Executive Support: Provide high-quality administrative support to the CEO, including managing busy calendars, scheduling meetings, and prioritising tasks and approvals to ensure smooth daily operations.
•Communication Liaison: Serve as a key point of contact between the CEO and both internal and external stakeholders, handling correspondence, emails, phone calls, and meeting requests. Drafting emails and other correspondence for the CEO.
•Meeting Preparation and Coordination: Prepare agendas, briefing materials, and presentations for key internal/external meetings, donor meetings, and other engagements. Take meeting minutes and follow up on action items.
•Travel Coordination
•Event Support
•Document and File Management
•Finance Administration Assistance
•Personal Support: Provide personal assistance to support the effective functioning of the CEO, such as scheduling appointments and preparing for external commitments
A BIT ABOUT YOU
We are looking for a team assistant/ office manager/ paralegal who is ready to step into an EA role. Most importantly you will:
- Have a strong commitment to advancing LGBTQIA+ rights and equality, with knowledge and understanding of the LGBTQIA+ community.
- Excellent interpersonal and communication skills
- Highly organised with an ability to work efficiently and effectively
- Exceptional attention to detail with ability to produce high-quality written products and identify errors or issues while reviewing other's drafted work.
- Strong team player, able to take direction from others, eager to learn, displays initiative and enthusiastic about taking on new responsibilities.
- Prior experience as an executive/personal assistant / paralegal / team assistant and/or prior experience in office management and working with diverse levels of management and governance in a small organisation.
BENEFITS
Available to you will be many additional leave benefits, including 1 extra week of paid annual leave per year, study leave, cultural leave and volunteer leave. Work from home 1 day per week and from beautiful offices in Darlinghust 4 days per week.
Salary $85-95,000 + super.
