We're seeking an organised, proactive and people-focused Operations Administration Coordinator to lead and optimise the administrative functions that keep our Operations Team running at peak performance. This role is central to ensuring seamless coordination across departments, maintaining high-quality operational processes, and enabling senior leaders and frontline teams to deliver exceptional results.

Key Responsibilities
Operational & Administrative Support
- Provide executive-level support to senior leaders, including diary, travel and correspondence management.
- Lead and support team onboarding, coordination and workflow optimisation.
- Maintain and improve SOPs, registers and operational documentation.
Internal Communications
- Deliver communication plans, newsletters and leadership updates across the organisation.
- Facilitate two-way communication channels, support change messaging and run National Support Office inductions.
Digital Platform Management
- Manage and optimise SharePoint sites, document libraries and permissions.
- Oversee Yammer content, engagement and digital communication tools.
Recognition, Culture & Engagement
- Coordinate reward and recognition programs.
- Partner with People & Culture on engagement initiatives aligned with company values.
Resources, Compliance & Admin
- Manage fleet logistics, expenses, invoices and travel arrangements.
- Ensure compliance with OH&S, governance and platform security requirements.
Projects, Events & Crisis Support
- Coordinate projects, supplier meetings, internal events and office tours.
- Support HR with crisis communication planning and readiness.
Continuous Improvement
- Analyse engagement data and recommend communication improvements.
- Develop feedback tools to enhance messaging and reach.
About You – Knowledge & Qualifications
Operational Excellence
- Demonstrated success managing administrative systems, workflows and resources in fast-paced, multi-site environments.
- Skilled in SOP development, document control and process optimisation.
Business & Commercial Acumen
- Strong understanding of how operations connect to broader business goals, including cost control, compliance and service delivery.
- Experience supporting senior leaders and contributing to strategic initiatives.
Communication & Stakeholder Engagement
- Advanced written and verbal communication skills.
- Able to craft clear messaging, lead internal communication plans and engage with stakeholders at all levels.
Technology & Systems Proficiency
- Confident user of Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint) and business platforms (ERP, CRM, HRIS).
- Experience managing digital communication tools, including SharePoint and Yammer.
Experience
- Experience in retail, franchise or multi-location business models.
- Exposure to change management or continuous improvement initiatives.
- Experience with SharePoint or similar workflow/document management platforms.
- Comfortable working with C-suite executives and in fast-paced, high-growth environments.
