Highclere Caravan Pty Ltd is a reputed caravan manufacturing company based in Epping, Victoria. As the business grows, we are looking for a full-time Project Administrator (Assistant Project Manager) to join our team. The Project Administrator will provide vital support to the management in the planning, coordination, and administration of caravan manufacturing projects. This role ensures projects are delivered on time, within budget, and to the required quality standards.

The base salary offered is $75,000 - $85,000 per annum plus superannuation.

Project Coordination

  • Plan, schedule and coordinate caravan production and delivery projects from initiation to completion.
  • Develop, maintain and update project timelines, schedules, and resource plans.
  • Monitor project milestones and alert management of potential delays or risks.
  • Coordinate with internal teams such as production, design, finance, to ensure timely completion of projects.

Documentation & Reporting

  • Prepare, format, and maintain project documentation including production schedules, status reports, change orders, and meeting minutes.
  • Ensure all project documents are accurately recorded and archived in internal systems.
  • Compile weekly and monthly reports for project stakeholders.

Procurement & Inventory Support

  • Assist in tracking orders, deliveries, and inventory levels for caravan parts and components.
  • Liaise with suppliers and procurement teams to ensure timely availability of materials.
  • Record supplier communications and update procurement logs.

Communication & Liaison

  • Act as a central point of project contact between internal teams, suppliers, and external stakeholders.
  • Organise and facilitate project meetings, including agenda preparation and minute-taking.
  • Follow up on action items from project meetings to ensure timely completion.

Compliance & Quality Support

  • Support compliance with WHS and quality assurance processes during project execution.
  • Assist in collating documentation for audits, certifications, and warranty submissions.
  • Report any issues or variances to management and recommend corrective actions.
  • Assist in after-sales service coordination, including warranty claims and service calls.
  • A bachelor's degree in project management, business administration or related discipline.

Skills and experience expected include

  • 1 year's work experience in a similar role, preferably in manufacturing or construction.
  • Familiarity with manufacturing workflows and production environments.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in MS Office Suite (Excel, Word, Outlook, Project) and project management tools (e.g., , MS Project, or similar).
  • High attention to detail and accuracy in documentation.
  • Ability to work independently and collaboratively across teams.
  • Understanding of WHS and quality systems in an industrial or manufacturing context.
