Role Summary
As the
Property Acquisitions & Settlements Assistant
, you support the Buyer's Agent across the entire lifecycle of a deal. From shortlisting and due diligence to contract management and settlement.

This is an
on-site, high-precision, tech-heavy
role for someone who loves organisation, structure, AI tools, and the fast pace of real estate.

Key Responsibilities
Acquisition Support

  • Assist with sourcing admin, shortlists, CMA prep, and rental research
  • Liaise with selling agents for Contracts of Sale
  • Upload and organise property documents and videos
  • Manage due diligence checklists and templates
  • Use AI tools to speed up research, summarise reports, and organise information

Contract & Condition Management

  • Track all contract dates, conditions and milestones
  • Coordinate B&P inspections, valuations, insurance, and related tasks
  • Ensure files are accurate, named correctly, and stored properly
  • Update CRM (GoHighLevel) and Notion in real time

Settlement Coordination

  • Liaise with brokers, conveyancers, solicitors and property managers
  • Prepare and send pre-settlement checklists
  • Organise rental campaigns where needed
  • Ensure settlement is on time with no preventable delays

Client & Executive Support

  • Prepare documents for strategy and acquisition meetings
  • Write professional client emails and updates
  • Manage calendar, follow-ups, and task tracking
  • General admin support to the Buyer's Agent

About You

  • Highly organised, detail-focused, reliable
  • Strong written communication
  • Tech-savvy and fast with systems
  • Comfortable using AI tools for admin efficiency
  • Calm under pressure and excellent at managing multiple tasks
  • Loves checklists, workflow, and precision
  • Interested in real estate, property documentation, and settlement processes

Bonus (not Required)

  • Real estate admin or PM/sales admin experience
  • Understanding of property contracts, B&P, valuations, or settlements

  • 100% accurate documentation & CRM updates
  • Smooth, on-time settlements
  • Fast stakeholder responses (same-day)
  • Strong client feedback and smooth deal flow

Salary
$60,000 – $80,000 + super (depending on experience)
