The role is integral to the operation of the Records Management function, whereby checking and monitoring of IT systems, help desk functions and staff training is required. There is weekly reporting, heavy use of excel spreadsheets and a high level of written communications. This role includes the need to perform IT releases in conjunction with other government departments and negotiate testing and implementation, including maintaining documentation and decisions relevant to this.
The National Queue registers mail which is digitised and attached to client records, performs Mail Rule updates and does a high level of reporting along with managing the end to end digital mail solution and related IT systems for this process (IT systems used are Process Direct and Content Manager 9)
**Duties**
- Train new and existing staff, explain processes and procedures to stakeholders
- Manage and implement IT releases with stakeholders - a high level of Excel usage and knowledge is required
- Ensure Mail is processed and classified correctly according to IT Rules
- The ability to quickly gain an advanced knowledge of the end to end IT system (Process Direct, Master Mail Rules, Content Manager 9) to enable the ability to offer relevant solutions to IT issues and workarounds
- High attention to detail is required for reconciling IT and process issues
- Understand digitisation and metadata requirements for Digitised Mail in reference to National Archives of Australia Standards
- Understand and explain relevant Records Management principles in a governmental setting.
- Staff Management, including scheduling and managing the workloads of staff
- Process improvement
- Develop and deliver/facilitate training on the use of Content Manager 9 in relation to digitised mail to all staff within DVA as required.
- Create video content using PowerPoint, Media Player with slides, screen grabs, pictures and voice overs.
- Understand DVA’s thesaurus for Document creation in records management sense
- Assisting in reconciling large complex invoices
