**About the Role**
To assist the Program Administration Lead in the delivery of support that contributes to the purpose and vision of the Programs and Quality Team of the organisation.
**Key Responsibilities**
**Engagements Internal**
- Work in collaboration with Playgroup NSW staff and actively participate in meetings as required.
**Administration & Process**
- Support the Program and Quality team with various administrative tasks such as managing and responding to correspondence, maintaining the staff matrix, maintaining data collection tools and developing spreadsheets and presentations as guided by the Administration Lead.
- Adhere to policy, procedures, and standards in compliance with funding contracts.
- Liaise with government and non-government agencies that can support and add value to the Programs to achieve strategic objectives as required.
- Perform other duties as required that are consistent with the classification and nature of the position.
- Coordinate and book training of Lead Educators and Educators and Programs team and correspond with relevant training organisations as required
**Reporting and Compliance**
- Provide assistance as required with coordinating Program evaluation, data collection and reporting activities as guided by the Administration Lead.
- Ensure legislative processes are completed and prepare reports for the funders, managers and others as required within specified timeframes.
- Adhere to relevant legislation and quality standards to ensure service delivery is maintained.
**Community**
- Engage with relevant Professionals to promote Programs and encourage referrals.
**Partners**
- Administer Service Level Agreements with Partner Providers and internally for sign off and ensure quality and standards of documents are maintained.
- Administer Lease process and renewals and ensure approval processes are implemented within the lease expiry timeframe
- Administer MOU process and renewals and ensure approval processes are implemented within the lease expiry timeframe
- Coordinate, in collaboration with Program Managers & Leads, program and management queries, and consumer/partner expectations.
- Develop and maintain collaborative relationships with stakeholders and partner agencies.
**Financial**
- Maintain all databases and compliance registers by funding bodies as required
**About You**
**Qualifications**
- Qualifications in Office Administration, Business or equivalent experience
**Skills**
- Demonstrated Interpersonal skills and ability to engage confidently with members, staff and others via telephone and face to face
- Proven written and verbal communication skills
- Intermediate level MS Office literacy and keyboard skills
**Experience**
- Demonstrated experience and competence and in CRM and Data Entry
- Demonstrated ability to work efficiently and accurately with limited supervision
**Working with Children Clearance (mandatory)**
