**Main Duties**:

- **Customer Service** - The Receptionist will have a strong focus on high level customer service, going above and beyond to ensure all internal and external stakeholders are experiencing a professional, presentable, and approachable front of house and while encompassing the "here to help" business motto.
- **Phone system** - The Receptionist will ensure all calls are answered professionally, efficiently and delivered effectively to the relevant receiver. All calls should be answered with the assurance that the caller is given as much information as possible without being transferred to multiple contacts. The Receptionist must have a cool and calm manner to be able to handle multiple calls at once.
- **Calendar access / appointments** - Accessing internal resource calendars and staff calendars to assist with the coordination of internal meetings and external bookings including but not limited to staff calendars, internal and external meeting rooms, conferencing and precinct facilities. The Receptionist will assist with servicing the front of house meeting rooms to ensure the presentation of these meeting rooms are kept to a high standard at all times.
- **Reception lunch relief**:

- Ensure the lunch relief staff and any other appropriate stake holder is kept up to date with any changes made to the processes on reception and making the updates to the reception manual accordingly. This also includes managing the reception relief roster, training new staff that are added to the relief roster and coordinating relief for any other absences on reception.
- **Visitor Passes** - Issuing, recording and collecting visitor passes to external stakeholders who are temporarily in the office, unescorted. The Receptionist is responsible for showing due diligence when issuing passes and for ensuring passes are returned and accounted for within the agreed timeframe.
- **Mail and Deliveries** -The Receptionist will ensure that mail is opened, sorted, and distributed to office personnel as early as possible (prior to lunch) and on the same day of delivery and outgoing mail is to be accounted for and recorded prior to the afternoon collection. The Receptionist will also be required to coordinate courier collections and express post deliveries items which are to be recorded in the postage register. Ongoing deliveries received throughout the day at reception, will be stored in the resource room and the Receptionist will notify staff of the required collection.
- **Office Supplies** - The Receptionist will monitor, replenish and order office supplies including but not limited to milk, fruit and groceries for the office, plus stationery, express postage items and stamps for the wider business.
- **Financial Transactions** - Use and maintain the office EFTPOS and credit card facility, including the recording of transactions, cash and cheques received on Reception. Reconciliation sheets to be prepared daily for finance collection.
- **Precinct Facilities** - Respond to and coordinate requests for booking BBQ areas, sporting facilities and other common areas in conjunction with the Functions and Conference Co-ordinator and maintain all booking through the appropriate resource calendar.
- **Staff Morning Tea** - Coordinate the roster for the staff fortnightly morning tea; including the organisation of the roster, scheduling reminders for staff who are catering and diary appointments for the morning tea event each fortnight.
- **Other Miscellaneous tasks** - Receptionist will also need to undertake miscellaneous tasks as required or directed by the Head of Human Resources and the Assistant Manager - Human Resources, including but not limited to:

- Scanning and filing
- Scheduling calendar appointments and meetings
- Administrative assistance and general support when directed.
