We are currently seeking a proactive and organised Office Coordinator to support our Corporate Head Office and play a key role in the transition to our new office in Chatswood. **About the role**
This role will initially be based at our Sydney CBD office, working closely with the team to support daily operations and prepare for our relocation to Chatswood (5mins walk from Chatswood interchange) in late July. You’ll be responsible for a range of duties from managing front-of-house to general office administration, while also providing hands-on support to the Executive Assistant across travel, finance, and executive admin tasks.
**Key Responsibilities**
**Office & Facilities Coordination**
- Greet guests and manage front-of-house responsibilities
- Maintain shared office spaces including meeting rooms, kitchen, and breakout areas
- Manage incoming mail, deliveries, and supply orders
- Support the relocation and setup of the new Chatswood office
**Meeting & Tech Support**
- Set up meeting rooms with required AV and tech equipment
- Liaise with IT support for troubleshooting issues
- Arrange catering and prepare materials for meetings and events
**Executive Support**
- Assist the Executive Assistant with general administrative tasks
- Coordinate calendars, meetings, and internal events
- Manage travel bookings and detailed itineraries
- Prepare documents, reports, and presentations as needed
**What we are looking for**
- 3+ years’ experience in office coordination, administration, or reception
- Excellent organisational and multitasking skills
- Strong interpersonal and communication abilities
- Proficient in Microsoft Office
- Friendly, professional, and proactive approach
