**Role Description/Criteria**

St Simon the Apostle Primary School, Rowville seeks an experienced and dedicated School Administration Officer. This role is a fixed-term role (LSL) with the possibility of an ongoing position.

The successful applicant will need to commence at the beginning of Term 1 and be willing to attend induction and training sessions in Term 4 by negotiation. The successful applicant must have a demonstrated commitment to Catholic Education and to the safety and well-being of children.

**Selection Criteria**:

- Commitment to Catholic Education and ethos
- Proficiency in computerised processing and/or openness to learning the ICON software system. (Training provided)
- Ability to work cooperatively within a team and to prioritise workloads in a busy school office environment that is prone to high levels of disruption.
- Strong organisational and time management skills with excellent knowledge of office management processes, including handling and preparation of correspondence, structuring and maintenance of general office and student filing systems and operation of printing/photocopying machines
- ** Hold a current Working with Children Check, National Police Record Check Certificate and current Level 2 First Aid Certificate, including CPR**:

- Ability to use discretion and confidentiality when dealing with sensitive information about students, staff and parents/carers within the school community
- the capacity to be extremely flexible with strong time management skills and the capacity to work in a fast-paced environment.
- warmth and welcome to all community members, providing informed and friendly customer service to all students and parents/guardians.
- high-level organisational skills and the capacity to manage and maintain student services (enrolment and student records).
- high-level communication and collaborative skills.

**Key Accountabilities**:
The School Office Administrator will represent St Simon the Apostle Catholic School in a professional, warm, friendly and efficient manner and must be able to work well in a team and interact effectively with children and adults, showing discretion and respecting confidentiality.

**Duties include**:

- Support the delivery of tasks associated with community participation and school functions
- Provide administrative support that meets the day-to-day requirements of the school, including:

- Coordinate the dissemination of information to staff and students
- Production of documents - letters, registers, spreadsheets
- Assist in the production of internal and external documents
- Sort, prepare and file documents as required
- Assist with banking and receipting of items
- Maintain attendance rolls and input data

Support the delivery of operational tasks associated with reception and administration including:

- Mail management and distribution
- Dealing professionally with and directing enquiries of parents, visitors and contractors
- Data entry to support registers and record management
- Provide coordination to students and staff with first aid and sickbay
- Liaise with parents and staff for sick or injured students
- Maintain and update student medical alert information, ensuring confidentiality
- Administer medication to students as per requirements in conjunction with protocol and process
- Distribution and maintenance of first aid kits
- Maintain student medical records and accident reporting
- Assist with financial and banking duties as requested
- Support collegiate learning and development by embracing new ideas and sharing experience and learning
- Assist with the organisation of school events, eg Open Day, School Information session
- Arrange catering for school events
- Any other duties as reasonably requested to support the functionality of the school.

The successful applicant needs to:

- have a current Working With Children Check and National Police Check.
- have a current First Aid certificate.
- have read and be committed to maintaining the standards as set out in our Child Safe Code of Conduct.
- have read, and be aware of, the attached statement on the 'Principles Regarding Catholic Education.
