**About the Role**:
To provide broad oversight and support of administration contract and compliance requirements for the English Additional Language programs across different delivery sites (Preston, Prahran, Epping and community locations).
Ensure that a high level of customer service is practiced and maintained
Ensure key data entry and reporting deadlines in the English Additional Language programs are met.
Ensure systematic processes are practiced and maintained

**Duties**:

- Establish and maintain a positive and welcoming work and student environment.
Provide high quality customer service to internal and external clients.
- In consultation with the Directorate Administrator lead the administration to implement and evaluate effective operational procedures and workflows.
- Lead the administration team who have responsibility for data entry requirements in the English Additional Language programs ensuring information is accurate and compliant.
- Provide high level administrative support to the Directorate Administrator and ensure that efficient and effective workflows are developed and followed to ensure compliance deliverables, including identifying and resolving problems as they arise.
- Be proficient in Microsoft Office 2013, Adobe Acrobat, Sharepoint, appropriate e-learning platforms, timetabling (Celcat) and database systems including Strata, Markbook, VET Online and ARMS.
- In consultation with the Directorate Administrator provide support to Managers/Program Leaders in day to day operations of the English Additional Language programs to ensure positive client, compliance and reporting outcomes.
- Supervise workloads of the Administrative team and co-ordinate administrative activities across delivery requirements.
- In conjunction with the Directorate Administrator lead, monitor and manage the performance of the administration team for the allocated programs.
- Provide and prepare high standard reports, correspondence, instructions and other written materials.
- Ensure that appropriate policies, procedures are followed and systems developed and maintained across the Directorate.
- Arrange and coordinate meetings including agendas and minutes. Follow up on actions and escalate issues to the Directorate Administrator.
- Proactively maintain current awareness of Directorate initiatives and new development activities and their status and using sound judgement, identify issues and risks in terms of compliance and providing suggestions for resolution and maintain records as required
- Ensure information and requests are disseminated to the appropriate areas of the Department and ensure information is accurate and professionally prepared.
- Contribute to the projects of defined scope under the direction of the Directorate Administrator
- In conjunction with Directorate Administrator identify staff training and development needs.
- Promote effective teamwork and communication to ensure a positive outcome for students.
- Lead and encourage a culture of continuous improvement and quality.

**Skills and Experience Required**:
A current Police Check and a current Working With Children Check Card (Employee) is mandatory for the successful applicant of this position.
- Demonstrated high level administrative and leadership skills including the ability to work independently, to supervise workloads of others and to co-ordinate administrative activities across delivery requirements in a designated work area.
- Demonstrated ability, commitment and attitude to the provision of high-level customer service to all internal and external clients, preferably in an educational setting.
