**About the role**
In this role, you will provide general administrative and business support to the Mayor, Councillor & Executive Support Unit, including drafting correspondence on behalf of Council, preparation of reports, and support for meetings and events.
Key responsibilities include:
- Assist with the preparation of Wurriki Nyal meeting rooms and associated amenities as required as per meeting plan and in line with any predetermined risk related requirements.
- Support process reviews on a project basis to identify and implement improvements to business processes.
- Assist with coordinating diary appointments via the processing of invitations to the Mayor, Councillors and CEO, and follow up with attendance at functions including registration, travel & accommodation, etc.
- At times, assist in preparation of reports detailing Councillor expenditures (e.g. phone, taxi, travel etc.).
- Assist the preparation of research and briefing notes as requested by the Manager Mayor & Councillor Support for Councillors.
- Support Councillor inbox triaging and request management when required and requested from the team.
- Input data and record correspondence, requests and invitations using corporate (Rex and Pathways) and MS office software.
**About you**
To be successful in this role, you will have significant business administration experience in a complex organisation.
Essential Experience:
- Ability and confidence in working in a time sensitive environment with attention to detail.
- Ability to connect with people through well-developed verbal and written communication ensuring accuracy and an approachable style.
- Professional presentation and courteous manner enabling professional, flexible and friendly working relationships.
- Awareness of the cultural and community responsibilities of civic office.
- Experience in contributing to a positive and flexible team environment.
- Victorian Drivers Licence.
