The Department of Justice and Community Safety (the department) is seeking a Contracts Coordinator to provide a critical role within Emergency Management.

**About the Business Unit**

Emergency Management includes the department's emergency management accountabilities delivered through Emergency Management Victoria (EMV), Emergency Recovery Victoria (ERV) and Emergency Management Technology and Data (EM T&D)

The work of the Emergency Management group supports the emergency management sector to work together and to strengthen the capacity of individuals, communities, government, agencies and business to achieve our shared vision of safer and more resilient communities and to rebuild and recover after an emergency. Emergency Management Technology and Data (EM T&D) is responsible for state and some national technology platforms that enable communications to and from the community, sector operational communications and sector information systems.

**About the Role**

The Contracts Coordinator's primary responsibility is to support the EM T&D Contracts Manager in the Implementation and maintenance of robust contract administration processes and procedures for key national, state and EM T&D technology contracts.

Some of your duties will include:

- Provide primary contract coordination support and reports ready for presentation to periodic meetings and governance forums with internal and external stakeholders where required.
- Provide support and advice to the contract management team in response to stakeholder enquiries (e.g. invoices, change requests, quotation queries or Governmental Briefs)
- Assist the Contracts Manager and Senior Contracts Administrator with completion of financial management activities in relation to EM Technology and Data contracts, where requested

**About you**

To be successful in this role, you will have:
**Technical Expertise**
- Experience in vendor and stakeholder management.
- Experience in information and data management (including Office365; Excel, Word etc).
- Experience in contracts coordination or administration in a related field, demonstrating a strong sense of business acumen.
- Effective communication, decision-making, problem-solving, and relationship-building skills, enabling you to collaborate successfully with various stakeholders including vendors, Government Departments and Emergency Service Organisations (ESOs).
- Strong written ability to be able to draft executive briefings, Requests for Quotations, Variation Deeds and other related business documents for internal and external stakeholders.
- financial capability to enable analysis of quotations, develop budgets and assess actual spend. Experience with Oracle and Zycus desirable

**Qualifications**
- An appropriate formal qualification is desirable.
- Demonstrated experience working in commercial, contract or vendor management positions, government experience desirable but not essential.
