**Position Overview**

As a Project Administrator within the Strategic Projects team at ADVA Group, you play a critical operational role in driving project execution. You are responsible for ensuring day-to-day activities run smoothly by managing administrative workflows, tracking task progress, coordinating team inputs, and maintaining up-to-date project documentation. Your hands-on approach supports the timely delivery of key milestones, enabling project leads to focus on high-level strategy. With strong organisational skills and a self-starter attitude, you enable the seamless progress of projects by ensuring that all aspects are well-coordinated and aligned with the project timelines. Your ability to effectively manage these elements not only supports the project’s operational needs but also ensures that the team can focus on achieving strategic goals, thereby enhancing overall company success.

**Role Responsibilities**

**Project Management Support**
- Provide a high level administrative and project support to the Manging Director and Project Team as required.
- Monitor, track, and report on the status of project deliverables and other activities to ensure projects are running in line with approved project plans and schedules including the development of monthly status update reports.
- Assist in the development of presentations, reports, and other correspondence to support project and strategic objectives.
- Liaising with the marketing team on any project-related printed materials

**Administrative Support**
- Provide assistiance in optimising administrative processes, and activities.
- Develop and maintain detailed filing systems, spreadsheets, databases, websites, and other administrative systems.
- Draft agendas, minutes, correspondence, briefing notes, and guidelines for meetings as required.
- Inputting and managing project data into finance and project management systems.
- Providing general team support as required e.g. supporting internal and client-facing priorities, general office management, team event preparation etc.

**Finance Administration**
- Assist with month end finance reporting and invoice processing.
- Chase submission of timesheets from team members and ensure accurate and complete timesheet reporting on a weekly and monthly basis.

**Experience and Qualifications**
- Completing or completed a Bachelor’s degree in Business, Project Management, or a related field.
- Minimum of 1 year experience in administration or project-based work.
- Able to manage multiple tasks, prioritise work effectively, meet deadlines, well-organised, and able to work efficiently under pressure.
- Well-developed interpersonal and written and verbal communication skills.
- Demonstrated experience providing effective customer service and support to clients at all levels.
- Ability to make sound judgements and work both independently and as part of a team.
- Be meticulous in the work, ensuring that all assigned tasks are complete, accurate, and free from errors.
- Demonstrated experience supporting and contributing to projects and initiatives.

**Job Types**: Part-time, Casual

Pay: From $25.00 per hour

Expected hours: No less than 16 per week
