Executive Assistant

The administrative assistant will provide administrative support to the corporate services and energy markets teams, with particular emphasis on supporting communications and public affairs activities.
**General responsibilities**:
- Calendar and diary management for executives, including co-ordinating internal and external meetings for executives
- Make travel arrangements (domestic and international), accommodation and business appointments for executives
- Process credit card statements and expense claims (including foreign currency) for executives
- Administrative tasks related to the functional responsibilities of the corporate services and energy markets departments, such as compilation of reports, word processing, administration, raising purchase orders and accounting for expenses
- Establish and maintain procedures and filing systems which are appropriate for the Group and are in keeping with company guidelines issued by EDL
**Communications**:
- Develop and maintain an annual global calendar of events
- Assist the Head of Communications with event management for internal and external events such as (but not limited to) International Women’s Day, NAIDOC week, R U Ok? Day
- Organise merchandise, banners and other materials for conferences and events
- Engage key stakeholders from other departments (HSE, engineering, projects, operations, legal etc.) to ensure their timely input into submissions for Pulse
- Develop and maintain a spreadsheet of EDL conference participation
- Develop and maintain a spreadsheet of community and local commitments from tenders
- Project management on an ad hoc basis such as website redevelopment, site openings, document management, intranet redevelopment, professional photography
- Directing and managing responses to website enquiries
- Assist with compilation of documentation and/or presentations that support the group’s activities
- Supporting and coordinating reporting requirements
**General**:
- Work closely with the other executive assistants and administrators and provide support as required, including participating in the reception lunch cover roster
- Contribute to overall coordination of domestic and international travel for the group
- Delegated signing authority to $3,000 for relevant cost centres
- Support and comply with EDL’s policies and procedures as advised and documented in the employment policies as amended from time to time and as directed by manager

- Flexible and able to work calmly and effectively under pressure with changing priorities
- Friendly and approachable, and able to contribute to the spirit of co-operation and understanding within the group
- Ethical, with high personal standards
- Previous experience within an executive environment, supported by substantive administrative experience at a senior level
- Experience in event management and coordination
- Formal management or administrative qualifications advantageous but not essential
- Advanced computer literacy in Word and PowerPoint is essential, and a working knowledge of other Microsoft programs and desktop publishing packages would be advantageous
